Gmail Integration Token Expiry Update - 9/30/2024

What is the improvement?
- We improved the Gmail email integration experience in AviontéBOLD, enabling users a streamlined way to manage Google integration token expiration updates.
Why did we do this?
- Google announced the enforcement of integration token expiration starting in the fall of 2024.
- Before this update, the Gmail integration setup was a one-time configuration action. Now all integration tokens, such as those needed to integrate Gmail with Bold, will expire and need to be replaced every six months.
- Starting in October 2024 - any Bold user that is currently integrated with Gmail will need to reconnect to Gmail from Bold at a minimum of once every 6 months to re-issue a new integration token for the integration.
How does this impact you?
- If your Bold user is integrated with Gmail, you will see a pop-up upon logging into Bold warning you if your token will expire within the next two weeks, with directions to reconnect to Gmail from the marketplace in Bold.
- Users should not have to reconfigure their synced folder/labels, filter settings, and sync/send settings.
- NOTE: Any folder/labels that have been added or removed in Gmail since the Bold Gmail configuration was last set will need to be manually adjusted after getting a new token from Gmail.
- When viewing the Bold > Marketplace > Gmail widget, a few updates to the warning and messaging have been made to align with the new token expiry:
- If your Gmail token has not expired, you will see a reminder that tokens expire every 6 months, along with the date when your token was last issued.
- If your Gmail token has expired, you will see a warning that your token has expired and are urged to click the “Sign in With Google” button to get a new token to avoid data loss.
- NOTE: Sending and syncing emails between Bold and Gmail will not work with an expired token.
- If your Gmail token is not expired, but is also no longer valid, users will see a message informing them we are unable to connect to your Gmail account and be urged to click the “Sign in With Google” button to get a new token to avoid data loss.
- NOTE: Sending and syncing emails between Bold and Gmail will not work with an invalid token.
- Clicking the “Sign in With Google” button at any time will revoke your current token if it exists and redirect you to Google to set up a new token.
- Clicking the “Disconnect from Google” button at any time will revoke your current token if it exists and disable/remove the integration configuration between Gmail and Bold.

- This feature is available to all Bold customers, but only impacts users who are integrated with Gmail.

myDashboard | Expiring Certificates Widget - 9/30/24

What is the improvement?
- Clients using the Certification Tracking System feature will now see a widget filter for Certificate Category and Type.
Why did we do this?
- Clients support a large range of Certificate Categories and Types. They may have staff whose responsibility is only to focus on particular Categories or Certificates, so we wanted to make this widget's filter more useful for the day-to-day users of this feature.
How does this impact you?

Clients who view the filters for the Expiring Certificates widget will see two dropdowns: One for the Certificate Category and the other for specific Certificates within that category.

SHL + eSkill | Assessment Results Fix - 9/27/24

What is the improvement?
- We removed an icon from the assessment results screen that was built for a different integration which is not in the market anymore.
Why did we do this?
- We did this because the icon was not useful. It confused the users as they thought it was a refresh icon that refreshes the results. However, the icon was designed for the Kenexa integration, which is no longer available as Kenexa has been out of the market for years now.Â
How does this impact you?

This change will be automatically applied to all Bold users. Users will not be able to see the icon in the UI anymore avoiding confusion.

Division/Office | Add validation on the FEIN field on Division - 9/23/24

What is the improvement?
- AvionteBOLD has been updated to add validation on the FEIN field on Division under System Settings | Division/Office Configuration.Â
Why did we do this?
- Prior to the improvement if an invalid FEIN were entered in this field, any changes made to the division would not sync to back office.Â
How does this impact you?

Customers should ensure they have a valid FEIN or business number in this field prior to saving. Â

User Sync | Create a User Audit - 9/20/24

What is the improvement?
- We are now auditing changes made to user profiles.
Why did we do this?
- Now users are able to track changes being made to user profiles. They can identify what was changed, when it was changed, and who made the changes.
How does this impact you?

They can better troubleshoot issues related to a user profile change, understand how or when something was changed, and enforce good user management processes.
