Business Intelligence (BI) Report: Rep Submittal Ratio Report

The Rep Submittal Ratio Report is a great way to learn about which Reps are submitting quality candidates by analyzing how many submittals they have, how many of those are moving on to interviews and how many are getting hired on a job. This report can be filtered down by Candidate Rep, Sales Rep, Req Created Date, Job Tite, Company Name, and Time Frame of the Activity. Use this report to forecast and improve the number of quality candidates.

Understanding the Filters

• Time Frame – Using this filter allows the user to see the data that occurred in a certain time frame. For example, if I set the filter to 'This Year', it will display the number of submittals this year and so on. If I change it to 'Last Year', it will only show submittals that occurred in the previous year.
• Company Name – Use this filter to only see submittals to jobs under a certain company.
• Job Title – Narrow down further and only see submittals to a specific job.
• Req Created Date – This filter allows me to see submittals by when the req was created. For example, if I wanted to see all of the submittals by Rep for jobs created in Q1, I could use this filter and then shut off the Time Frame Filter. Using this means, it does not matter when the submittal occurred, but it had to be for a job created in the specified time frame.
  • Note that the Time Frame Filter and Req Created Date Filter can be used together. For example, if I set the Time Frame to Q1 and the Req Created Date filter to last year, I am saying that I want to see all the submittals that occurred in Q1 for jobs that were created in the previous year.
• Candidate Rep - This filter pulls from the Credit To field on the Talent page of the Job. Use this filter to see data by a specific Recruiter.
• Sales Rep – This filter pulls from the Sales Rep on the Job Details page. Use this filter to see data by a specific Sales Rep.

Understanding the Data: (By column)

• # of Nominations/Submittals
  • This number is the total number of Candidates that have been nominated/submitted under the specific filters.
    • The number under Candidate Rep is based on how many candidates have been nominated/submitted where that specific Recruiter was receiving the Recruiter Credit To (on the Talent/Candidates Page). For example, if you have two candidates that were nominated/submitted, and you were put as the Credit To for both, it would give you 2 Nominations/Submittals, even if another User clicks to nominate/submit the candidate.
    • The number under Sales Rep means the total number of Nominations/Submittals under a job where the User was listed as the Sales Rep on the Job Details Page. It doesn't matter who nominates/submits the candidate, but if the person was nominated/submitted under the Sales Rep's job, the number will increase by one.
  • # of Total Interviews
    • This shows the total number of interviews for candidates submitted. If I submit John Smith, and he has had three interviews, my number will be three.
  • # of Unique Interviews
    • This shows the total number of candidates that were interviewed, regardless of the number. For example, if John Smith had three interviews, it will only count him as one, regardless of it they were all different interview stages.
  • # of Placements
    • Once a Candidate is started in the system, the Candidate and Sales Rep will get credit in the report. A candidate must be started on a job before it feeds in to the report clicking the green Check Mark on the Talent Page must be selected.
  • Submitted to Interview
    • This ratio shows the number of submittals it takes to get to one interview. The closer to one, the better the ratio. Anything above one means it took more submittals to get one interview.
      • If your recruiter submits three candidates and two get interviews, your ratio is 3/2=1.5
      • If your recruiter submits five candidates and two get interviews, the ratio is 5/2= 2.5
    • Interview to Placement
      • This ratio shows the number of interviews it takes to get to one placement. The closer to one, the better the ratio. Anything above one means it took more interviews to get to one placement.
    • Submitted to Placement
      • This ratio shows the number of submittals it takes to get one placement. The closer to one, the better the ratio. Anything above one means it took more submittals to get to one placement.

Using the Data

Managers can use this report to analyze past data and see how they can improve and forecast for future jobs. Using this report, managers can make a reasonable assumption on how many submittals they will need for a job to get a placement. They can also analyze individual users to understand how to improve their ratios. If any of them are high for a certain user, it could mean they might not understand what a quality candidate may be. Analyze their ratios over to see how they are improving.
