Avionté PIXEL - Talent Engagement

The new Avionte Bold Talent Engagement feature allow customers to automate and simplify the critical messaging between recruiters and talent. By defining triggers, schedules, conditions, and content, Talent Engagement users can automatically respond, engage, and service their talent automatically, based on their business’s workflow.

By providing users with an easy to configure tool to manage their company, branch, or personal automated talent behavior, a single administrator can enable automated talent engagement quickly and easily across hundreds of recruiters.

The result? A better, faster, and consistent talent experience working with talent for your staffing agency.

Availability

Avionte PIXEL customers can start using this feature today! NOTE: Some functionality may require specific Talent Enablement Bundle features, such as 24/7 Onboarding for the “Onboarding Due” type trigger.


Getting Started

Once you have the new Talent Engagements configured, there’s a few tasks to complete the setup:

  • Ensure you’ve configured your user(s) for text messaging under the Bold Marketplace SMS Configuration widget.
  • Ensure you’ve elevated the permissions for at least one admin to have the “Engagement Admin” user access setting, so someone can create, customize, and share the engagement with others. NOTE: Your user must log out of Bold and back in after changing user access settings to make them take effect.
  • The link to the Talent Engagement configuration page is available under the Automation tab.


Creating a Talent Engagement

  1. As an Engagement Admin or Engagement Edit privileged user, navigate to the Talent Engagement area in Bold (a link to the Talent Engagement area in Bold us under the Automation tab).
  2. Click on the “+ New” button in the upper right corner of the Engagement Notifications list page.
  3. Give your configuration a name under the “Notification Title” section. A recommended title could include contextual information such as the trigger type, scope of who it’s for, and other relevant meta-data to help keep its purpose clear when viewed from the list page.
  4. Choose which event trigger type you’d like to base your configuration on. See the Reference Matrix in this article for a list and description of each type of trigger.
  5. If applicable, choose the talent and/or placement status this configuration is specifically for. NOTE: By selecting none of the available talent and/or placement statuses, it will be enabled for EVERY talent and/or placement status.
  6. If applicable, choose a schedule for this configuration to fire. These options vary depending on the trigger type. NOTE: For most scheduled triggers, you can configure multiple triggers per configuration. For example, you may want to schedule the same message to be delivered at 10am and 10pm.
  7. Define your message content. You can use statically typed text in this field, as well as the optional variable fields which will dynamically updated based on the context of the sender, recipient, and/or configuration.
  8. Determine if you want the message delivered via SMS or the 24/7 app using the Notification Preference area checkbox.
  9. Engagement Admin Only: Determine which other user(s) you optionally would like to share (and enable) this configuration with.
  10. Click the “Save” button to be returned to the Engagement Notifications list. That’s it, your configuration is complete and will trigger based on your configuration.


Talent Engagement Configuration User Types

There are three main user types when it comes to Talent Engagements (configured via User Access Settings within Bold):

  • Engagement Admin: This type of user has control over all Talent Engagements, limited only by their office access. They can create, control, edit, share, and delete any Talent Engagement created by themselves or others (including other Admins) if the user that created the Talent Engagement configuration is in an office the Engagement Admin has access to. For some staffing agencies that wish to have consistent content across all recruiters, there may only need to be one user or group of users that will configure messaging content across all users.
  • Engagement Edit: This type of user can create, control, and delete their own Talent Engagements, as well as deactivate a Talent Engagement configuration an Engagement Admin user has shared with them (but it will only be disabled for the Engagement Admin user themselves). For some staffing agencies, they may want to allow certain recruiters to control the messaging themselves, overriding any Admin-defined Talent Engagements for themselves specifically. This still allows for automation, but a more diverse experience depending on how and when this user chooses to automate their talent engagements.
  • Standard User: This is the default type of user that does not have Engagement Admin or Engagement Edit user permissions enabled for them. This type of user can only view the Talent Engagements shared with them by an Engagement Administrator, so they have visibility to what automated content is being sent on their behalf.


Talent Engagement Uses

Several standard events triggers have been created to automate a message via SMS or the 24/7 app, so as talent and recruiters are using the system, the messaging can happen automatically, giving your talent and recruiting staff a quick and streamlined experience any day, any time.

Talent Engagements have several main aspects:

  • Trigger: This is the type of event or trigger that causes a Talent Engagement to fire. Such as ‘when’ a talent applies for a job, ‘when’ a specific date or day of the week/month occur, ‘when’ a date prior to, or after something like an onboarding assignment.
  • ·Schedule: This controls the event firing based on some sort of timer. “When” and “On” are based upon the action taking place or the event occurring. “Before” and “After” take place X days before or after the action or event occurs. “Every” (day/weekday/week/month/year) is a recurring send of the message based on the recurrence. Multiple schedules can be added to a single Talent Engagement to help keep the system concise. NOTE: The scheduled time of the trigger is based on the user configuring the notification’s time zone. If you’re creating the configuration, and set it for 9am, and your Bold user’s time zone is Central, then the configuration will fire around 9am Central.
  • Variables: These are dynamic fields based on relevant/associated content. These can vary from trigger type to trigger type based on applicability. Things such as the talent name, recruiter name, job title, and client will populate dynamically based on who the message is sent. This way you can create semi-generic messaging and each individually delivered message will appear as personalized content.
  • Conditions: These are talent, placement, or both statuses available on certain trigger types that help provide more granular control of which specific talent are receiving a message. For example, you may choose not to send an NPS survey to a talent who was terminated and in a Do No Assign status.
  • Message: This is the content of the SMS or in-app (24/7) you are sending to your talent. This can be a mix of static and dynamic text based on use of variables.

With these aspects, Talent Engagement users can customize how their automated communications function, all within Bold’s framework.


Simplified Talent Engagement Examples

  • Providing a personalized welcome message upon applying to your staffing agency, including a link to an interview AI bot to help qualify them and gain valuable insight to help match them to employment, all without any direct effort from the recruiter.
  • Scheduling important recurring or one-time event messaging out to some or all your talent. Wishing every talent a Happy Birthday, Happy Holidays, End of Year Reminder, Timesheet Submission Reminder, or Talent Fair can be easily automated.
  • Notifying the talent of assigned onboarding tasks and reminding them of those assigned tasks after a few days.
  • Reminding the talent of outstanding onboarding tasks based on due date (for 24/7 Onboarding customers)
  • Reminding the talent of an upcoming assignment start date and worksite.
  • Thanking a talent for a recently completed assignment, and immediately engaging in the next opportunity.
  • Reaching out to talent that haven’t actively been engaged, helping know which are still open to employment, and which are not.
  • A thank you to talent after submitting their timesheet.
  • A message to talent based on a specific status they are in.
  • A periodic message with a link to a Talent Questionnaire, like an NPS or survey

UI / UX Overview

The screenshots and mockups below can be used to become familiar with the user interface, and the purpose of the different buttons and areas of the Talent Engagements. NOTE: Not all buttons or areas shown in the screenshots below may be accessible or visible based on your user permissions. For example, standard users are unable to create or delete Talent Engagement configurations. Engagement Edit users are not able to share Talent Engagement configurations with other users or delete those created by Engagement Admins.


Accessing Talent Engagements

List Page View

  1. This is the total number of active (enabled) Talent Engagement configurations for you as a recruiter.
  2. This is the New button, used to create a brand-new Talent Engagement configuration from scratch.
  3. These are the column headers for the list of Talent Engagements (sortable):
    • Status shows if the Talent Engagement configuration is active or not.
    • Created By shows the author of the Talent Engagement configuration.
    • Send Notifications shows the number of schedules configured for the Talent Engagement.
    • Delete shows a trashcan icon, which can be used to delete a Talent Engagement configuration.
  4. The chevron icon can be used to expand any Talent Engagement configuration to show the schedule detail.
  5. Engagement Notification Name” is the name of the Talent Engagement configurations.
  6. This is the Talent Engagement configuration name, which can be clicked to edit or view the details.
  7. This is the trashcan icon, used to delete a Talent Engagement configuration
  8. These are the navigation/pagination controls for organizations with many Talent Engagement configurations, to keep page load times faster.


Standard Create/Edit Configuration View

  1. This link allows you to return to the Talent Engagements list page.
  2. This is the Talent Engagement title/name area.
  3. This is the Trigger type selection drop-down.
  4. This area is used for Applicant Status or Placement Status conditions. NOTE: Not every trigger type has both or either of these. Please refer to the Reference Matrix for more information.
  5. This is where you see the schedule(s) defined for a Talent Engagement. To remove a schedule, click the trashcan on the right side of the schedule.
  6. This is the button used to add an additional schedule to your Talent Engagement configuration.
  7. This is the Variable drop-down used to insert dynamic values into your message content section. You may also use Emojis in your message content if desired. NOTE: Not every trigger has the same variables available. Please refer to the Reference Matrix for more information.
  8. This is the message content configuration area, where you can define what the message is that will be sent. This can be a mix of static and dynamic (using variables) data.
  9. This is the Notification Preference configuration area. By default, messages are delivered via SMS but can be overridden to send the message to the mobile app only (24/7).
  10. This is the Set as System Default configuration area. If set, this Talent Engagement configuration will be used for talent in the system that do not have a recruiter representative set on their Talent profile.
  11. This is the Notification Access area used for sharing of a Talent Engagement with other users in the system. Engagement Admins can share notifications with any user that belongs to a branch/home office that the Engagement Admin has access to.
  12. This is the Save button used to save the configuration you’re currently creating/editing.
  13. This is the Active/Deactivate toggle. Only available to Engagement Admins and Engagement Edit users. For Engagement Admins, this toggle controls whether the configuration is active or disabled for ALL users it is shared with. For Engagement Edit users, this toggle only controls whether the configuration is active or disabled for themselves.


Special Views – Application Received Trigger

Selecting this trigger type (1) will cause two message content areas to appear. The top message configuration area (2) is specifically for a job or general apply which has an Interview Bot attached to it. This way, you can include a variable for the Interview Bot itself so applicants can complete an interview right after initial application.

The bottom message configuration area (3) is for any job or general apply that does NOT have an associated interview bot attached, so applicants are not asked to complete a non-existent interview.

NOTE: It is important to consider the “Set as System Default” setting for the Application Received based Talent Engagements, as many times new applicants will NOT have an associated recruiter rep, and therefore will need this box checked to ensure they are receiving a response when applying. Having one Talent Engagement set as the system default will ensure no applicant is left without an immediate response.


Special Views – Manual Push Trigger & Usage

For the Manual Push trigger (1), you’d notice there’s no schedule, no notification preference, or system default options. That is because these are simply SMS-only templates for a user to send manually from the Talent Profile within Bold. It can help keep communication consistent and reduce repetitive input for frequently sent SMS messages.

Once a Manual Push Talent Engagement configuration has been saved; it can be used from the Talent Profile. Simply select the “Send Talent Engagement Text” option from the Message type drop-down (1). Next, using the Talent Engagement Template drop-down (2), select which Manual Push template you’d like to use in your SMS message. Finally, you’ll see upon selecting the template, the message you configured appears within the Message area (3) and is ready to send to the talent.


Special Views – Talent Questionnaire Variable Configuration

When choosing to insert the “Questionnaire” from the variable drop-down (1), a secondary drop-down (2) to select which specific Talent Questionnaire you’d like to send a link for will appear. Selecting a specific Talent Questionnaire will insert the specific variable code into your message (3). When received by the Talent, they will be able to use the Talent Questionnaire link to complete the questionnaire.


Notes / FAQ

  • Talent Engagements are sent to talent whose talent representative has the Talent Engagement shared with them (name appears in the Notification Access area) and are active. For talent without a representative, only Talent Engagements configured as “Set as System Default” will fire.
  • Manual trigger types are more like SMS templates, that can be used by recruiters when sending text messages to talent users.
  • Scheduled times are based on the user creating the talent engagement’s time zone. If a Bold user’s time zone is Central, and they configure a talent engagement that fires at 8am for a talent in the Eastern time zone, that talent will receive it around 9am Eastern.
  • The “Questionnaire” variable type will also ask which specific Talent Questionnaire you’d like the talent user to complete in the message content.
  • If any Bold user has both the “Engagement Admin” and “Engagement Edit” permissions, then they will be an Engagement Admin.
  • If an Engagement Admin creates a configuration that’s shared with others, including an Engagement Admin user, and then that Engagement Edit user chooses to deactivate that configuration so they can create their own, then that configuration will only be disabled for that specific Engagement Edit user. All other users the active configuration was shared with will still have it active/enabled.
  • Is it possible to create a Talent Engagement configuration that makes no sense, or would never fire? The short answer is Yes. The Talent Engagement feature puts several configuration controls in the hands of the end user. If a configuration is for a specific Applicant or Placement status, and is something your staffing agency would not use, it will not fire.
  • If you have an Applicant Status and a Placement Status condition set the two criteria are evaluated as an “AND”. For example, the trigger will not fire unless both the Applicant’s Status and the Applicant’s Placement Status both match what you’ve configured.
  • Messages typically are delivered within a few minutes of a trigger firing, however this could be delayed longer depending on system load, mobile network congestion, and your mobile device’s current status.
  • How long after a new Talent Engagement configuration is created before it’s “live” and functional? Within 5 minutes the new configuration will be available and fire when triggered.
