WorkN | SFTP Support for Billing Extract Files - 04/23/2025

What is the improvement?

WorkN now offers SFTP support for billing extract files. This new delivery option allows customers to receive their billing extract files via SFTP instead of email, providing a more secure and automated file transfer method.

Submit a support ticket to request SFTP delivery setup. 

Why did we do this?

  • This enhancement addresses customer requests for a more streamlined file delivery process that doesn't require manual email management
  • SFTP delivery eliminates the one-week expiration limitation of email links
  • The secure file transfer protocol provides added security for sensitive billing data
  • Automated file delivery supports improved integration with customer systems

How does this impact you?

This delivery method is offered as an alternative to the existing email delivery process.

  1. Email Delivery:
    • Files are sent to one admin email address identified during Implementation
    • Email links expire after one week

  2. SFTP Delivery:
    • Files are transferred directly to your secure SFTP location
    • No expiration period for transferred files
    • Supports automated workflow integration

New Dashboard Widget | Posted Jobs for Job Owner - 04/21/2025

🚀 What's New

What is the improvement?

A new dashboard widget, "Posted Jobs for Job Owner", is now available for HCM users in BOLD. This widget provides visibility into all currently posted jobs where the user is the Job Owner, restoring functionality previously available before the Careers Page Segmentation update.

Why?

  • Following feedback from customers, we've introduced this new widget to support workflows that rely on Job Owner visibility, separate from the logic introduced in the updated "Your Posted Jobs" widget. This allows users to continue leveraging personalized job tracking while maintaining the new segmentation logic elsewhere.


How does this impact you?

  • Widget Name: Posted Jobs for Job Owner
  • Widget Category: Jobs (listed alphabetically)
  • Description: A list for Job Owners to view currently posted jobs
  • Access: Available to all HCM Users
  • This widget does not replace the existing "Your Posted Jobs" widget; it is offered as an additional tool to support a broader range of user workflows.

  • Your Posted Jobs widget:
    • Shows posted jobs that you created the job post for.
  • Posted Jobs for Job Owner:
    • Shows posted jobs where you are the Job Owner.

 

 

Automated HCM User Sync - 04/18/2025

🚀 What's New

  • We've implemented a new user creation and synchronization system between BOLD and Back Office platforms. All new HCM Users created in BOLD will automatically have a Back Office user created and connected, establishing consistent user mapping across platforms and improving audit tracking capabilities.


Why?

This improvement addresses several critical issues:

    • Data Reliability: Creates consistent, reliable mapping between BOLD and Back Office user accounts.
    • Simplified Workflow: Eliminates the need to manually create users in multiple systems.
    • Improved Auditing: Enables tracking of the actual users who make changes, replacing generic "AvionteWeb" audit records.
    • Enhanced Reporting: Makes user data more accessible and reliable for exports, reports, and analytics.

 

How does this impact you?

  • Existing BOLD users that are not linked to their Back Office user can connect by going to their User Profile and selecting their Back Office user from the new dropdown. If there is no Back Office user, this can be left blank. Users that don't take this step will eventually be connected by the system.
  • New users that need to access Back Office will still need a user created in AUM, but the Back Office user will be created automatically when the BOLD user is created.
  • The need to manually create users in Back Office via Classic has been eliminated, streamlining your user management process.
  • For customers integrated with Back Office, the ability to create users directly in Back Office has been removed.
  • Entity record changes will now be properly attributed to the specific users who made them, improving accountability and audit trails.

Shift Schedule Templates/Sync - 04/15/2025

  • The Shift Schedule Template/Sync feature now allows you to set company-specific shifts for positions, viewable seamlessly in both Bold and Back Office platforms.

  • This integration creates a unified scheduling system across platforms, eliminating the need to manually transfer shift information between systems. It provides a centralized approach to managing employee schedules, reducing errors and saving administrative time.

  • You'll now experience:

    • Streamlined scheduling workflow - Create shifts once and access them across both platforms
    • Improved visibility - View shift details easily whether you're in Bold or Back Office
    • Greater flexibility - Create company-specific shifts tailored to each position's requirements
    • Reduced data entry - Eliminate duplicate work and potential inconsistencies between systems

Placement Contract Extension (Assignment Schedule) Update - 04/02/2025

What is the improvement?

We’ve updated the way contract extensions are handled within BOLD to provide a better user experience by modifying current and pending future extensions to mitigate impact issues related to accuracy and gaps between extensions.

Why?

  • The changes were made based on feedback from Bold customers who had issues related to placement management when modifying dates associated with current or future placement contract extensions.


How does this impact you?

  • Better safeguards to prevent users from accidentally setting overlapping start and end dates across existing extensions
  • Improvements in handling of activating/deactivating extensions based on changes to extension start/end dates
  • Ensuring hired details always opens to the current/active extension by default when viewing or editing a placement
  • Preventing the removal of the end date when terminating an employee
  • Automatic removal of pending/future extensions when a placement is terminated
  • A new option to “fill gaps” between extensions when start/end date modifications would result in a gap between two extensions, allowing the user to choose if it wants the system to automatically adjust the previous or next extension date to prevent gaps. (See screenshot below)
