Avionté PIXEL - Talent Engagement

Talent Engagement automates the messaging between recruiters and talent throughout the entire hiring and placement lifecycle. By defining triggers, schedules, conditions, and content, Talent Engagement responds to and engages with talent automatically, based on your agency's workflow.

An administrator configures message templates once, and Talent Engagement applies them consistently across recruiters, branches, or the entire company, without requiring manual effort for each individual message.

The result is a faster, more consistent talent experience across every recruiter at your staffing agency.

Note: Talent Engagement automations send through Avionté Chat. Messages route using a three-tier priority: Talent Engagement User Group, then the recruiter's Personal SMS Number, then a Service User SMS Number. Availability

Talent Engagement is available to Avionté PIXEL customers.

Note: Some functionality requires specific Talent Enablement Bundle features. For example, the "Onboarding Due" trigger type requires 24/7 Onboarding.

Getting Started

To complete setup for Talent Engagement, finish a few tasks:

  • Configure your user(s) for text messaging under the Bold Marketplace SMS Configuration widget.
  • Elevate the permissions for at least one admin to have the "Engagement Admin" user access setting, so someone can create, customize, and share the engagement with others. Log out of Bold and back in after changing user access settings to make them take effect.
  • Find the link to the Talent Engagement configuration page under the Automation tab.

Creating a Talent Engagement

  1. As an Engagement Admin or Engagement Edit privileged user, navigate to the Talent Engagement area in Bold, under the Automation tab.
  2. Click the "+ New" button in the upper right corner of the Engagement Notifications list page.
  3. Give your configuration a name under the "Notification Title" section. A recommended title includes contextual information such as the trigger type and scope, to keep its purpose clear when viewed from the list page.
  4. Choose which event trigger type to base your configuration on. See the Reference Matrix in this article for a list and description of each trigger type.
  5. If applicable, choose the talent and/or placement status this configuration is for. Selecting none of the available statuses enables the configuration for every talent and/or placement status.
  6. If applicable, choose a schedule for this configuration to fire. Options vary depending on the trigger type. For most scheduled triggers, you can configure multiple triggers per configuration, such as the same message delivered at 10am and 10pm.
  7. Define your message content. Use static text along with the optional variable fields, which update dynamically based on the sender, recipient, and/or configuration.
  8. Determine if the message delivers via SMS or the 24/7 app using the Notification Preference area checkbox.
  9. As an Engagement Admin, determine which other user(s) to share (and enable) this configuration with.
  10. Click "Save" to return to the Engagement Notifications list. The configuration is complete and triggers based on your configuration.

Talent Engagement Configuration User Types

There are three main user types for Talent Engagements, configured via User Access Settings within Bold:

  • Engagement Admin: Has control over all Talent Engagements, limited only by office access. Can create, control, edit, share, and delete any Talent Engagement created by themselves or others, including other Admins, if the creator is in an office the Engagement Admin has access to. Staffing agencies that want consistent content across all recruiters can designate one user or group of users to configure messaging content for all users.
  • Engagement Edit: Can create, control, and delete their own Talent Engagements, and can deactivate a Talent Engagement configuration an Engagement Admin has shared with them (disabling it only for themselves). This lets certain recruiters control their own messaging, overriding Admin-defined Talent Engagements for their own use while still automating engagement based on how and when they choose.
  • Standard User: The default user type without Engagement Admin or Engagement Edit permissions. Can only view the Talent Engagements shared with them by an Engagement Administrator, giving them visibility into what automated content sends on their behalf.

Talent Engagement Uses

Standard event triggers automate a message via SMS or the 24/7 app as talent and recruiters use the system, giving talent and recruiting staff a quick, streamlined experience any day, any time.

Talent Engagements have several main aspects:

  • Trigger: The type of event that causes a Talent Engagement to fire, such as when a talent applies for a job, when a specific date or day of the week/month occurs, or a date before or after an event like an onboarding assignment.
  • Schedule: Controls when the event fires based on a timer. "When" and "On" are based on the action or event taking place. "Before" and "After" fire a set number of days before or after the action or event. "Every" (day/weekday/week/month/year) recurs based on the recurrence set. Multiple schedules can be added to a single Talent Engagement. The scheduled time is based on the configuring user's time zone. For example, a configuration set for 9am by a user in the Central time zone fires around 9am Central.
  • Variables: Dynamic fields based on relevant, associated content, varying by trigger type. Fields such as the talent name, recruiter name, job title, and client populate dynamically based on the message recipient, so a single message template appears personalized to each talent.
  • Conditions: Talent, placement, or both statuses available on certain trigger types, providing granular control over which talent receive a message. For example, you might choose not to send an NPS survey to a talent who was terminated and in a Do Not Assign status.
  • Message: The content of the SMS or in-app (24/7) message sent to talent, which can mix static and dynamic text using variables.

With these aspects, Talent Engagement users can customize how their automated communications function, all within Bold's framework.

Simplified Talent Engagement Examples

  • A personalized welcome message upon applying to your staffing agency, including a link to an interview AI bot that helps qualify the applicant and match them to employment, without any direct effort from the recruiter.
  • Recurring or one-time event messaging to some or all talent, such as a Happy Birthday, Happy Holidays, End of Year Reminder, Timesheet Submission Reminder, or Talent Fair announcement.
  • Notifying talent of assigned onboarding tasks and reminding them of those tasks after a few days.
  • Reminding talent of outstanding onboarding tasks based on due date (for 24/7 Onboarding customers).
  • Reminding talent of an upcoming assignment start date and worksite.
  • Thanking talent for a recently completed assignment, and immediately engaging them in the next opportunity.

The screenshots below show the user interface and the purpose of the different buttons and areas of Talent Engagements. Not all buttons or areas shown may be accessible or visible based on your user permissions. Standard users cannot create or delete Talent Engagement configurations, and Engagement Edit users cannot share configurations with other users or delete those created by Engagement Admins.

  1. The total number of active (enabled) Talent Engagement configurations for you as a recruiter.

Standard Create/Edit Configuration View

  11. The Notification Access area, used to share a Talent Engagement with other users. Engagement Admins can share notifications with any user belonging to a branch/home office the Engagement Admin has access to.
  12. The Save button, used to save the configuration you are creating or editing.
  13. The Active/Deactivate toggle, available only to Engagement Admins and Engagement Edit users. For Engagement Admins, this toggle controls whether the configuration is active for all users it is shared with. For Engagement Edit users, it controls whether the configuration is active only for themselves.

Special Views – Application Received Trigger

Selecting this trigger type (1) displays two message content areas. The top message configuration area (2) is for a job or general apply with an Interview Bot attached, letting you include a variable for the Interview Bot so applicants can complete an interview right after applying.

The bottom message configuration area (3) is for any job or general apply that does not have an associated interview bot, so applicants are not asked to complete a nonexistent interview.

Note: Consider the "Set as System Default" setting for Application Received based Talent Engagements. New applicants often do not have an associated recruiter rep, so this setting ensures they receive a response when applying. Setting one Talent Engagement as the system default ensures no applicant is left without an immediate response.

Special Views – Manual Push Trigger & Usage

For the Manual Push trigger (1), notice there is no schedule, notification preference, or system default option. Manual Push templates are SMS-only message templates that a user inserts manually into an Avionté Chat conversation, helping keep communication consistent and reducing repetitive input for frequently sent messages.

Once a Manual Push Talent Engagement configuration is saved, use it from within an Avionté Chat conversation on the talent's profile:

  1. Open a conversation with the talent in Avionté Chat.
  2. Click the + button in the composer.
  3. Select Send Talent Engagement from the menu.
  4. In the Send Talent Engagement window, search for or browse to the template(s) you want and select the checkbox next to one or more Manual Push templates.
  5. Click Insert into Chat. The selected template's message content inserts into the composer, where you can review or edit it before sending.
  6. Send the message as you would any other Avionté Chat message.

Special Views – Talent Questionnaire Variable Configuration

When inserting the "Questionnaire" variable from the variable drop-down (1), a secondary drop-down (2) appears to select which Talent Questionnaire to link. Selecting a specific Talent Questionnaire inserts the corresponding variable code into your message (3). When talent receive the message, they can use the Talent Questionnaire link to complete the questionnaire.

Notes / FAQ

  • Talent Engagements send to talent whose talent representative has the Talent Engagement shared with them (name appears in the Notification Access area) and the configuration is active. For talent without a representative, only Talent Engagements configured as "Set as System Default" fire.
  • Manual trigger types work as reusable message templates. Recruiters insert them into an Avionté Chat conversation using the composer's Send Talent Engagement action.
  • Scheduled times are based on the time zone of the user who created the talent engagement. If a Bold user in the Central time zone configures a talent engagement that fires at 8am, a talent in the Eastern time zone receives it around 9am Eastern.
  • The "Questionnaire" variable type also prompts you to choose which specific Talent Questionnaire the talent user should complete.
  • A Bold user with both "Engagement Admin" and "Engagement Edit" permissions is treated as an Engagement Admin.
  • If an Engagement Admin creates a configuration shared with others, including another Engagement Admin, and an Engagement Edit user deactivates that configuration to create their own, the configuration is disabled only for that Engagement Edit user. It remains active for all other users it was shared with.
  • A Talent Engagement configuration can be created that never fires. The feature puts several configuration controls in the hands of the end user. If a configuration targets a specific Applicant or Placement status your staffing agency does not use, it will not fire.
  • If both an Applicant Status and a Placement Status condition are set, the two criteria are evaluated as an "AND." The trigger fires only when both the Applicant's Status and the Applicant's Placement Status match your configuration.
  • Messages typically deliver within a few minutes of a trigger firing, though delivery can take longer depending on system load, mobile network congestion, and the recipient's device status.
  • A new Talent Engagement configuration becomes live and functional within 5 minutes of being created.
