Customizing and Sharing This Report

Columns: Use the column selector to show, hide, or reorder columns to match your workflow.

Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.

Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.

Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.

The Timesheet Status Report provides a comprehensive view of timesheet submission and approval status across your organization. Track which timesheets are open, submitted, approved, or require attention, along with detailed job, contractor, and approval information. Use this report to audit weekly timesheet workflows and ensure timely processing.

Accessing the Report

  1. Click the Analyze tab in the main navigation
    The Reports section will automatically open in the left sidebar
  2. In the search field or by scrolling, locate and click Timesheet Status Report
  3. The report loads immediately with data based on your previous filtering options.

Note: Reports load with Today & Yesterday as the initial default. Once you adjust filters, the report remembers your selections for future sessions. If you see unexpected results, check your active filters in the right panel. The data you see depends on your security permissions—users with restricted access may see fewer timesheets than colleagues with broader visibility.


Understanding This Report

What This Report Shows You

The Timesheet Status Report displays every timesheet record in your system, showing current status (Open, Submitted, Approved, etc.) along with complete details about the contractor, job assignment, rates, and approvers. Each row represents one timesheet for a specific week, providing the transaction-level detail needed to manage timesheet workflows effectively.

Unlike summary dashboards that show aggregated metrics, this report gives you granular visibility into individual timesheet records. You can see exactly which contractors have submitted their time, which timesheets are awaiting approval, and which have been paid—essential information for managing weekly payroll cycles.
 

Why Use This Report

This report helps you manage timesheet operations and answer critical questions:

  • Which contractors have submitted timesheets for the current week?
  • Which timesheets are stuck in approval workflow?
  • Who are the assigned approvers for each timesheet?
  • Which timesheets have been paid and when?
  • What are the billing and pay amounts for specific timesheets?
  • Are there any missing or late timesheet submissions?

Payroll Administrators: Monitor timesheet submission status to ensure timely payroll processing, identify missing timesheets before payroll deadlines, and verify that all required approvals are in place before payment processing.

Operations Managers: Track timesheet workflow efficiency, identify bottlenecks in approval processes, ensure contractors are submitting time correctly, and maintain visibility into weekly labor activity across all placements.

Branch Managers: Review timesheet status for their office's placements, monitor contractor compliance with timesheet submission requirements, and ensure hiring managers are approving timesheets promptly.

Finance Teams: Reconcile timesheet data with billing records, verify that approved timesheets align with client invoicing, track when timesheets were paid for cash flow management, and audit timesheet-to-payment workflows.

Using Filters

Filters appear on the right side of your screen and help you focus on specific time periods, status types, or organizational segments. Your filter selections persist between sessions—the report opens with whatever filters you last applied. All filters default to "Include all" when you first open the report.
 

Available Filters

Timesheet Week End Filters by the week-ending date (Sunday's date for the timesheet week) Focus on specific payroll periods or compare timesheet compliance across multiple weeks

Note: The Timesheet Week End filter uses Sunday's date as the week-ending date. When filtering for a specific payroll week, select the Sunday date that ends that week.


Applying Your Filter Selections

  1. Click on the edit icon next to any filter name to expand it
  2. Make your selections by checking boxes or choosing from dropdowns
  3. Click Apply to update the report with your filtered view
  4. Click Cancel to discard changes and return to the previous filter state
     

Reading the Data

The Timesheet Status Report displays comprehensive information about each timesheet record. The extensive field list provides complete visibility into contractor assignments, rates, hours worked, approval workflows, and payment status.
 

Key Field Categories

The report organizes information into logical categories to help you find what you need:

Timesheet Identification: Requisition ID, Placement ID, Timesheet ID, Week Start, Week End, Timesheet Status

Contractor Information: Applicant ID, Contractor Name, Applicant Email, Mobile Phone

Job Details: Req ID, Job Title, Company ID, Company Name, Division, Region, Office, Job Location, Worksite Address details

Hours and Billing: Straight Time, Over Time, Double Time, Additional Hours/Units, Total Bill, Total Pay, Expenses Total

Rates: Straight Pay Rate, Straight Bill Rate, Over Time Pay Rate, Over Time Bill Rate, Double Time Pay Rate, Double Time Bill Rate, Unadjusted Bill Rate, VMS %

Approval Workflow: Approver 1/2/3 Name and Email, Manager ID, Manager Name, Manager Email

Payment Information: Paid status, Paid Date, Employment Type, Tax Type

Placement Details: Hired Date, Start Date, End Date, Over Time Rule, Bill Cycle, Sales Rep, Recruiter Rep, Placement Office, WC Code

Leave Tracking: Total Leave Billed, Total Leave Paid

Field Category How to Use It
Timesheet Status The most critical field for workflow management. Open status means the contractor hasn't submitted yet. Submitted means awaiting approval. Approved indicates ready for payroll processing. Paid confirms payment has been issued.
Approval Information Use approver names and emails to follow up on pending approvals. Missing approver information causes timesheet delays—verify all placements have designated approvers before the work week begins.
Hours Breakdown Review Straight Time, Over Time, and Double Time to understand labor patterns. Consistent overtime may indicate staffing shortages or opportunities for additional placements. Additional Hours/Units captures non-standard pay codes.
Payment Status Track which timesheets have been paid and when. Use Paid Date to reconcile payment runs with approved timesheets. Unpaid approved timesheets may indicate payroll processing issues requiring investigation.
Rate Verification Compare bill rates and pay rates against placement records to ensure accuracy. The Unadjusted Bill Rate shows the rate before VMS deductions—useful for margin analysis. VMS % shows any vendor management system fees applied.
Batch Indicator The Batch field shows Yes when the job uses batch hours entry (where hours are entered in bulk rather than individual timesheet submission). Use this to understand different time capture workflows across your placements.


Understanding What You're Seeing

Multiple rows for one contractor: The same contractor appears multiple times when they have timesheets for multiple weeks or when they hold concurrent placements at different companies. Filter by Timesheet Week End to see a specific payroll period.

Open timesheets past deadline: Timesheets with Open status after the submission deadline indicate contractors who haven't submitted their time. These require immediate follow-up to avoid payroll delays. Use the Applicant Email and Mobile Phone fields to contact contractors directly.

Submitted but not approved: Timesheets in Submitted status are awaiting approval from the designated approvers. Review the Approver fields to identify who needs to take action. Long approval delays may indicate approver availability issues or training needs.

Approved but not paid: Timesheets with Approved status that lack a Paid Date may be awaiting the next payroll run or could indicate a payroll processing issue. These timesheets should transition to Paid status within your normal payroll cycle timeframe.

Missing approver information: Blank approver fields prevent timesheets from progressing through the approval workflow. These assignments need immediate attention to add the proper approvers in the placement record.
 

Practical Applications

Weekly Timesheet Audit

Every Monday morning, filter by Timesheet Week End to the previous week's Sunday date and Timesheet Status to "Open." This identifies contractors who missed the deadline. Export the list with Applicant Email and Mobile Phone fields to send reminder communications. Track these patterns over time to identify chronic late submitters who need coaching.

Export this filtered view to create reminders or escalation lists for operations teams to follow up on missing submissions.
 

Approval Bottleneck Analysis

Filter to Timesheet Status "Submitted" for timesheets awaiting approval. Sort by Week End to see how old the pending approvals are. Group by Approver 1 Name to identify which managers have the most pending approvals—they may need training on the approval process or may be unavailable due to vacation or other commitments.
 

Pre-Payroll Verification

Before each payroll run, filter to Timesheet Status "Approved" and verify all timesheets have the correct hours and rates. Compare Total Pay against expected amounts based on hours and pay rates. Export this data to provide to your payroll processor or to verify against payroll system imports.

  • Timesheets approved within payroll cutoff timeframe
  • Rate accuracy verification before payment processing
  • Confirming all required approvals are in place
     

Client-Specific Reporting

Filter by Company to view all timesheets for a specific client. This is valuable when clients request billing backup or labor reports. Export with fields like Contractor Name, Job Title, Hours, and Total Bill to create client-facing summaries. Track submission and approval timing to ensure you're meeting client billing deadlines.

  • Client labor reports for billing periods
  • Hours worked verification for client-requested audits
  • Compliance documentation for client requirements
     

Exporting Your Data

Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.

  1. Apply any filters you want to include in your export
  2. Click the three-dot menu icon (⋮) in the top right corner of the report area
  3. Select your preferred format from the Download submenu:
    • Image: Creates a visual snapshot of the report as currently displayed
    • CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools
    • PDF File: Generates a formatted document suitable for printing or formal distribution

Note: Your export will include only the data visible based on your current filter selections. To export all timesheet records, ensure all filters are set to "Include all" before downloading.


Additional Export Options

The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.
 

Refreshing the Report

Report data refreshes automatically in the background. However, if you want to see the most current information immediately after changing filters or if you know timesheets have been submitted or approved, you can manually refresh.

  1. Locate the circular arrow icon above the filter panel on the right side

  1. Hover over the icon to see it expand and display the word "UPDATE"
  2. Click the icon to re-run the report based on your current filter selections

The report will reload with the latest data from your database, reflecting any new submissions, approvals, or status changes since you last viewed it.
