Customizing and Sharing This Report
Columns: Use the column selector to show, hide, or reorder columns to match your workflow.
Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.
Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.
Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.
The Accrued Hours Report provides detailed visibility into talent hours worked within a specified time period. Track regular and overtime hours, verify payroll accuracy, and ensure compliance with benefit qualification thresholds. Access comprehensive hour-level data to support bonus calculations, holiday pay determinations, and workforce planning decisions.

- Click the Analyze tab in the main navigation
The Reports section will automatically open in the left sidebar - In the search field, type ACCRUED or scroll to locate the report
- Click on the Accrued Hours Report
- The report loads immediately with data based on your filtering options
Understanding This Report
What This Report Shows You
The Accrued Hours Report displays total hours worked by talent across your organization within a defined time period. Each row represents an individual talent member, showing their regular hours, overtime hours, billing amounts, wage information, and associated transaction details. The report provides both summary-level metrics and granular hour breakdowns by pay code, giving you complete visibility into time tracking and compensation data.
Unlike activity-based reports that track discrete events, this report aggregates time data to show cumulative hours. This makes it particularly valuable for payroll verification, compliance monitoring, and financial analysis where precise hour totals drive critical business decisions.
Why Use This Report
This report helps you answer critical questions about workforce time management and compensation:
- Which talent are approaching benefit qualification thresholds based on hours worked?
- How many total hours did we bill versus pay for a given period?
- Are there discrepancies between entered hours and expected hours that require investigation?
- Which talent qualify for bonus pay or holiday pay based on hour requirements?
- What is the breakdown of regular versus overtime hours across offices or regions?
- How do wage costs compare to billing revenue for specific talent or time periods?
- Are there patterns in overtime usage that indicate staffing gaps or scheduling inefficiencies?

Using Filters
Filters appear on the right side of your screen and help you focus on specific segments of your hour data. All filters default to "Include all" when you first open the report.

Working with Date Filters
The Accrued Hours Report offers two approaches to defining your time period:
- Date From / Date To: Manually select specific start and end dates for custom time periods
- Date Range: Choose from preset options like Yesterday, Last Week, This Week, This Month, or Last Month
Applying Your Filter Selections
- Click on the edit icon next to any filter name to expand it
- Make your selections by checking boxes, entering values, or choosing from dropdowns
- Click Apply to update the report with your filtered view
- Click Cancel to discard changes and return to the previous filter state
Reading the Data
Understanding the Report Columns
The Accrued Hours Report displays comprehensive talent information and hour details. Each row represents one talent member with their cumulative hours for the selected time period.

How to Interpret What You're Seeing
High overtime percentages: If talent consistently show OT hours exceeding 20% of total hours, this may indicate understaffing on placements, schedule inflexibility, or opportunities to add additional talent to reduce overtime costs. Compare overtime rates against client billing arrangements to ensure profitability.
Discrepancies between bill hours and total hours: When bill hours are significantly lower than total hours worked, investigate non-billable time categories. This could indicate training time, breaks, or data entry errors that need correction before invoicing.
Talent approaching benefit thresholds: Use the Total Hours for Date Range to identify talent nearing eligibility for health insurance, 401k, or other hour-based benefits. Proactive communication about upcoming eligibility improves talent satisfaction and ensures compliance with benefit offering deadlines.
Inactive talent with recent hours: If talent marked as Inactive show hours in the current period, this may indicate timing lags between placement end dates and status updates, or potential data integrity issues requiring investigation.
Wide variations in average weekly pay: Significant differences in average weekly pay across similar job titles or experience levels may indicate rate inconsistencies, opportunities for rate negotiations with clients, or talent who should be considered for higher-paying placements.
Strategic Applications
Payroll Verification & Accuracy
Run the Accrued Hours Report before each payroll cycle to verify total hours match timesheet submissions. Compare regular and overtime hours against placement schedules to catch data entry errors before processing. Export the report and cross-reference against your payroll system to ensure wage calculations align with entered hours.
Use the Last Check Date column to identify talent who haven't received recent paychecks despite showing active hours. This early detection prevents payment delays and maintains talent satisfaction.
Benefits Administration & Compliance
Filter by Total Hours to identify talent approaching ACA full-time thresholds (typically 130 hours per month or 30+ hours per week). Monitor these talent closely to ensure timely benefit offerings and avoid compliance penalties.
Track cumulative hours using Total Hours Since First Placement to determine eligibility for tenure-based benefits like additional PTO, 401k vesting, or bonus programs tied to lifetime hours worked.
Export historical data quarterly to document ACA measurement periods and administrative periods. This creates an audit trail demonstrating compliance with look-back measurement requirements.
Cost Analysis & Margin Management
Calculate gross margin for each talent by comparing total bill amounts (Reg Bill + OT Bill) against total wages (Gross Wages). Identify talent with low margins—these may require rate renegotiations with clients or placement reviews to improve profitability.
Track overtime costs by office or region to identify locations with excessive OT expenses. High overtime usage may indicate understaffing, poor schedule management, or opportunities to add talent and reduce premium pay.

Bonus & Incentive Calculations
Filter by specific date ranges to identify talent who qualify for quarterly or annual hour-based bonuses. Export filtered results to streamline bonus payment processing.
Use dynamic pay code columns to isolate holiday pay hours, shift differential hours, or other special rate categories when calculating incentive compensation tied to specific work conditions.
Workforce Planning & Optimization
Analyze hour distribution across offices and regions to identify imbalanced workloads. Offices with consistently higher average hours per talent may need additional placements or recruiting support.
Compare total hours worked against currently placed status to find talent who recently completed assignments. These individuals are prime candidates for immediate re-engagement and new placement opportunities.
Track average weekly hours by job title to understand typical workload patterns for different roles. This data informs job descriptions, client expectations, and helps set realistic placement hour commitments.
Exporting Your Data
Export your report data to share with stakeholders, perform additional analysis in Excel, or maintain records for compliance purposes.
- Apply any filters you want to include in your export
- Click the three-dot menu icon (⋮) in the top right corner of the report area
- Select your preferred format from the Download submenu:
- Image: Creates a visual snapshot of the report as currently displayed
- CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools—ideal for payroll system imports
- PDF File: Generates a formatted document suitable for printing or formal distribution
- Excel File: Creates a native Excel workbook with formatted data
Additional Options in the Menu
The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.
Refreshing the Report
Report data refreshes automatically in the background. However, if you want to see the most current information immediately after changing filters or if you know recent time entries have occurred, you can manually refresh.
- Locate the circular arrow icon above the filter panel on the right side
- Hover over the icon to see it expand and display the word "UPDATE"
- Click the icon to re-run the report based on your current filter selections
The report will reload with the latest data from your database, reflecting any new time entries or changes that occurred since you last viewed it.
