Customizing and Sharing This Report

Columns: Use the column selector to show, hide, or reorder columns to match your workflow.

Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.

Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.

Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.

The Enhanced Talent Documents Missing Report gives you a comprehensive view of talent records with missing or incomplete required documentation. Use it to identify gaps across your talent database, prioritize compliance follow-up, and ensure all required documents are in place before assignments begin.

Accessing the Report

  1. Log in to your Avionté BOLD account with Back Office Reports permissions.
  2. Click the Analyze tab in the main navigation.
  3. Use the search bar to find "Talent Documents Missing" or browse the available reports list.
  4. Click the report name to open it.
Note: Access to this report requires Back Office Reports permissions in your Avionté user role. Contact your system administrator if you need access.

Understanding This Report

What This Report Shows You

The Talent Documents Missing report displays all candidates and employees in your system who have incomplete or missing required documentation. Each row represents a talent record with one or more documents that have not yet been submitted, verified, or uploaded. The report provides a comprehensive audit view of documentation status across your organization, helping you quickly identify gaps before assignments begin.

  • Ensure all talent have submitted required documents before being placed on assignments
  • Identify which document types are most frequently missing across your talent pool
  • Track onboarding progress and prioritize follow-up with candidates who haven't completed documentation
  • Maintain compliance with client requirements and industry regulations
  • Monitor talent by office or division to see documentation completion rates by location
  • Reduce assignment delays caused by missing documentation
  • Generate audit trails showing when documents became overdue

Using Filters

Filters allow you to narrow the report results to specific subsets of talent and documentation types, making it easier to focus on areas that need attention.

Available Filters

Filter Name What It Does When to Use It
Division Narrows results to a specific division or business unit When you manage a specific division and want to see only that division's talent
Office Filters results by office location When you need to focus on a single branch or regional office
Document Type Shows missing documents of a specific type (e.g., I-9, background check, certification) When tracking a particular compliance requirement or document category
Talent Status Filters by talent lifecycle status (Active, Inactive, Candidate, Employee, etc.) When you want to see documentation gaps for a specific talent segment
Start Date / End Date Shows documents that became required within a specific date range When analyzing documentation trends over a time period or finding recent additions
Requirement Date Filters talent whose documents became required on or before a specific date When prioritizing overdue documentation or identifying long-outstanding gaps
Document Status Filters by document status (Missing, Pending Review, Rejected, etc.) When focusing on documents awaiting action versus those never submitted

Applying Your Filter Selections

  1. Click the filter name to expand the filter options.
  2. Check the boxes next to the values you want to include in your results.
  3. Click Apply to update the report with your filter selections.
  4. To clear filters and start over, click Cancel to discard your selections.

Reading the Data

Each row in the Talent Documents Missing report represents a single talent record with one or more missing required documents. Review the fields below to understand what information is available in each column and how to interpret the data.

Key Field Categories

Field Name Description
Talent ID The unique system identifier assigned to the candidate or employee
Talent Name First and last name of the candidate or employee
SSN (Masked) Last four digits of the talent's social security number for identification purposes
Talent Status Current lifecycle status of the talent (Active, Candidate, Employee, Inactive, etc.)
Office Branch or office location where the talent is assigned or applied
Division Division or business unit associated with the talent record
Missing Document Type The name or category of the required document that is missing or incomplete (e.g., I-9, Background Check, Driver's License Copy)
Document Status Current status of the missing document (Missing, Pending Review, Rejected, Expired, etc.)
Requirement Date The date on which the document became required for this talent
Last Updated Date and time when the talent record or document status was last modified
Days Since Required Number of days elapsed since the document requirement date; helps prioritize overdue items
Contact Status Indicates whether the talent has been contacted about missing documentation

Practical Applications

Compliance Teams use this report to conduct regular audits of talent documentation, verify that all clients' document requirements are met before assignments begin, and generate compliance reports showing documentation completion rates across the organization.

Onboarding Coordinators run this report daily or weekly to identify candidates who need document reminders, prioritize follow-up outreach, and track progress toward full onboarding completion before talent become available for assignments.

Branch Managers and Staffing Leads use the report filtered by office to quickly determine which talent are documentation-ready for client presentations, avoid assignment delays, and manage the talent pipeline more effectively.

Exporting Your Data

Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.

  1. Apply any filters you want included in your export.
  2. Click the three-dot menu icon (⋮) in the top right corner of the report area.
  3. Select your preferred format from the Download submenu:
    • Image: Creates a visual snapshot of the report as currently displayed.
    • CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools.
    • PDF File: Generates a formatted document suitable for printing or formal distribution.

Note: Your export will include only the data visible based on your current filter selections. To export all talent records, ensure all filters are set to "Include all" before downloading.

Refreshing the Report

Avionté automatically refreshes report data every 5 minutes. If you want to see the most current data immediately after changing filters or after records have been updated, you can manually refresh.

  1. Locate the circular arrow icon above the filter panel on the right side of the screen.

  2. Hover over the icon to see it expand and display the word "UPDATE."
  3. Click the icon to re-run the report based on your current filter selections.

The report will reload with the latest data from your database, reflecting any new talent records, document updates, or status changes since you last viewed it.
