Customizing and Sharing This Report
Columns: Use the column selector to show, hide, or reorder columns to match your workflow.
Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.
Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.
Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.
The Active Consultants Report provides a comprehensive view of all active contractor placements, including consultant details, job information, billing rates, and time approvers. Use this report to monitor your current workforce, track contractor assignments, and manage placement details across your organization.

Accessing the Report
- Click the Analyze tab in the main navigation
The Reports section will automatically open in the left sidebar - In the search field or by scrolling, locate and click Active Consultants Report
- The report loads immediately with data based on your filtering options.
Understanding This Report
What This Report Shows You
The Active Consultants Report displays every contractor currently working on active placements in your system. Each row represents one active placement, providing complete details about the consultant, their assignment, compensation structure, and approval chain.
Unlike summary reports that aggregate data, this report gives you the transaction-level detail needed to answer specific questions about individual placements, verify billing information, and ensure proper time approval workflows are in place.
Why Use This Report
This report helps you manage day-to-day operations and answer critical questions:
- Which consultants are currently working, and where are they placed?
- What are the current bill rates and pay rates for active placements?
- Who should approve timesheets for each contractor?
- Which clients have the most active contractor placements?
- How is commission structured across our active placements?
- Are emergency contact details current for all active contractors?

Different roles use this report to address specific operational needs:
HR Managers: Track contractor placements to ensure compliance with employment regulations, verify I-9 and E-Verify documentation, and optimize resource allocation across departments.
Recruiters: Monitor active placements, track billing and pay rates for contract negotiations, and identify opportunities for contract extensions or permanent conversions.
Project Managers: Review contractor assignments on their projects, verify time approver information, and ensure proper tracking of project-related expenses.
Finance Managers: Analyze contractor billing rates, forecast budget requirements, track commission structures, and identify cost optimization opportunities across active placements.

Using Filters
Filters appear on the right side of your screen and help you focus on specific segments of your active contractor population. Your filter selections persist between sessions—the report opens with whatever filters you last applied. All filters default to "Include all" when you first open the report.
Available Filters

Applying Your Filter Selections
- Click on the edit icon next to any filter name to expand it
- Make your selections by checking boxes or choosing from dropdowns
- Click Apply to update the report with your filtered view
- Click Cancel to discard changes and return to the previous filter state
Reading the Data
The Active Consultants Report displays each active placement as a separate row with comprehensive details about the contractor, assignment, and compensation structure. The extensive field list allows you to export exactly the information you need for your specific use case.
Key Field Categories
The report organizes information into logical categories to help you find what you need:
Placement Identification: Office, Requisition ID, Job Title, Contract Type, Division, Department, Shift
Consultant Information: Applicant name, contact details (email, phone), emergency contacts, address, employment type, talent status
Client Details: Company name, hiring manager information (name, phone, email), department, worksite address, billing information
Assignment Terms: Start date, end date, bill rate, pay rate, overtime rates, rate type, markup percentages, VMS fees
Team Assignments: Client rep, contractor rep, job owner, talent representative, time approvers (up to 3)
Commission Structure: Commission users (up to 8), commission types, commission percentages, user offices
Compliance Information: E-Verify case status and number, I-9 validation date, work authorization expiration date

| Contact Information | Use consultant phone numbers and emails for direct communication. Emergency contact details are critical for workplace incidents—verify these are current for all active contractors. |
| Rate Information | Compare bill rates and pay rates to calculate margins. Review overtime and double-time rates to ensure proper billing during high-volume periods. The Adjusted Bill Rate field automatically accounts for VMS fee deductions. |

Understanding What You're Seeing
Multiple rows for one consultant: The same person appears multiple times when they have multiple concurrent placements at different companies or when Extensions filter is set to show placement history. To see only current assignments, set Extensions filter to 'Active Extensions Only.
Blank time approver fields: Missing time approver information indicates a setup issue that will prevent timesheet processing. Contact the client rep or hiring manager to obtain approver details immediately.
Mismatched bill and pay rates: If bill rates and pay rates don't align with your expected markup percentages, review the placement extension details. VMS fees, special rate structures, or overtime rules may affect the calculation.
Expiring work authorizations: Use the Work Authorization Expiration Date field to identify contractors whose authorization is expiring soon. Set up filters to flag expirations within the next 30-60 days.
Commission splits totaling more than 100%: Some commission structures intentionally exceed 100% to reward team selling. Verify these are configured correctly by reviewing the commission type field.
Practical Applications
Focusing on Key Clients
Use the Company filter to narrow down placements at your largest clients. This helps you quickly see how many contractors are currently working for major accounts, verify their placement details, and ensure proper coverage and support.
Export this filtered view to create client-specific reports for account reviews or to share current placement rosters with client contacts.
Excluding Internal Placements
If you use Avionté for internal recruiting, deselect your own company from the Company filter. This removes internal hires from the contractor count and prevents false positives in your contractor utilization metrics.
Monitoring Contractor Lifecycles
Combine the Date From/Date To filters with the Extensions filter to identify:
- Placements ending in the next 30 days (potential extension or conversion opportunities)
- Long-term contractors (6+ months) who may be candidates for permanent placement
- Recently started placements that need onboarding support or check-ins
Compliance Monitoring
Sort by E-Verify Case Status or Work Authorization Expiration Date to maintain compliance. Create regular filtered exports showing:
- Pending E-Verify cases requiring follow-up
- Work authorizations expiring within 90 days
- Missing I-9 validation dates
Exporting Your Data
Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.
- Apply any filters you want to include in your export
- Click the three-dot menu icon (⋮) in the top right corner of the report area
- Select your preferred format from the Download submenu:
- Image: Creates a visual snapshot of the report as currently displayed
- CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools
- PDF File: Generates a formatted document suitable for printing or formal distribution
Additional Export Options
The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.
Refreshing the Report
Report data refreshes automatically in the background. However, if you want to see the most current information immediately after changing filters or if you know placements have been added or updated, you can manually refresh.

Locate the circular arrow icon above the filter panel on the right side
- Hover over the icon to see it expand and display the word "UPDATE"
- Click the icon to re-run the report based on your current filter selections
The report will reload with the latest data from your database, reflecting any new placements, ended contracts, or updated information since you last viewed it.
