Reading the Data
The Contract Falloffs Report displays each ending placement with comprehensive details about the contractor, assignment history, and financial terms. The field structure helps you quickly assess which placements require immediate attention.
Understanding Key Fields
| Field Category | How to Use It |
| Date Fields |
Original Hired Date / Original Start Date: Show when the contractor first began with this client, indicating tenure length. Total Contract End Date: The latest end date across all extensions—this is when the placement actually concludes. Hired Date / Start Date / End Date: Apply to the specific extension being shown, useful when placements have multiple renewals. |
| Contractor Information | Use contact details (work/mobile/home phone, email) to reach contractors about their next assignment. Address information helps assess relocation flexibility or local opportunities. |
| Rate & Revenue Data | Review pay rate, bill rate, estimated hours, and hourly margin to calculate revenue impact of losing the placement. Use this data to prioritize extension efforts based on profitability. |
| Assignment Details | Job title, company, department, and hiring manager context help determine whether the role still exists or if the need has ended. This guides your extension vs. replacement decision. |
| Team Ownership | Candidate Rep (recruiter) and Sales Rep fields show who should initiate extension conversations and who owns the client relationship. |
| End Reason | If populated, reveals why the contract is concluding (project completion, budget cuts, performance, etc.). Helps predict whether an extension is viable. |
Interpreting What You're Seeing
Clustered end dates at one client: Multiple placements ending simultaneously at the same company may indicate a completed project, budget cycle, or potential mass extension opportunity. Coordinate with the account manager for a unified approach.
Long tenure contractors (Original Start Date is years ago): Contractors with extended tenure are often strong candidates for permanent conversion or have deep client relationships worth preserving through renewal.
High-margin placements ending: Sort by hourly margin or bill rate to identify your most profitable placements. Prioritize extension efforts for these assignments to protect revenue.
Contractors with upcoming availability: Cross-reference this report with your open positions. Contractors ending soon may be perfect fits for other client needs, especially if they're performing well.
End reasons indicating performance issues: If end reasons mention performance or client dissatisfaction, focus redeployment efforts on finding a better-fit position rather than pursuing an extension.
Strategic Planning
Extension Planning Workflow
Use the report to establish a systematic approach to contract renewals:
- 60 days out: Sales rep initiates preliminary extension conversation with client
- 45 days out: Recruiter discusses contractor's interest in extending or moving to a new role
- 30 days out: Finalize extension paperwork or intensify search for replacement/new opportunity
- 15 days out: Emergency escalation if no decision has been made
Revenue Protection Strategy
Filter by Date From/Date To to see next quarter's endings. Calculate total revenue at risk by summing (Bill Rate × Estimated Hours) for all placements. Present this data to leadership to justify increased sales and recruitment resources during critical periods.
Talent Redeployment
Export the list of contractors with upcoming availability. Share this with your recruiting team alongside current open positions. Match contractor skills and preferences to available opportunities before their contracts end, minimizing bench time.
Client Retention Analysis
Group by Company to identify clients with high contractor turnover. If the same clients consistently appear with ending contracts but low extension rates, investigate whether service quality, rates, or contractor fit issues need addressing.
