Enhanced Standard Reporting is now available as an optional feature for your system.

Customizing and Sharing This Report

Columns: Use the column selector to show, hide, or reorder columns to match your workflow.

Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.

Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.

Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.

The AR Aging Enhanced Report gives you a detailed view of outstanding invoice balances organized by how long they've been unpaid. Use it to monitor receivables across companies and offices, track overdue amounts within customizable aging buckets, and stay on top of collection priorities — all as of a specific date you define.

Note: If you were a Business Intelligence user prior to 2022, contact your Account Manager for access.

 

Accessing the Report

  1. Click the Analyze tab.
    The Reports sub tab will automatically be selected.
  2. In the Search Reports field, type AGING.
  3. Click AR Aging from the results list.
 
Note: The report automatically loads with all filters set to "Include all." Data refreshes every 5 minutes to reflect current invoice balances.

Understanding This Report

What This Report Shows You

The AR Aging report displays each outstanding invoice as a separate row, with balance amounts distributed across aging buckets based on how long the invoice has been unpaid. The aging buckets are fully customizable — you define the day ranges for Age Groups 1, 2, and 3 — so the report adapts to your organization's collection schedule. An "As Of Date" parameter lets you run the report as of any point in time, making it useful for both current collections work and historical period-end reviews.

Why Use This Report

This report helps your billing and collections team manage receivables and answer critical questions:

  • Which invoices are past due, and by how many days?
  • How much outstanding balance does a specific company carry across all invoices?
  • Which clients have balances in our oldest aging bucket?
  • What is a company's current balance relative to their credit limit?
  • When did a client last make a payment?
  • Which companies are on credit hold, and why?
  • How does our AR aging look as of a prior period-end date?
 

Who Benefits From This Report

Different roles use this report to address specific billing and financial needs:

Billing and Collections Teams: Prioritize outreach by identifying which invoices are furthest past due and which clients carry the largest overdue balances, enabling focused and efficient collections activity.

Account Managers: Monitor the payment health of their assigned clients, spot companies approaching credit limits, and stay informed about outstanding balances before client interactions.

Finance Managers: Review period-end AR snapshots using the As Of Date parameter, validate aging bucket totals, and assess overall receivables exposure across divisions and offices.

Executive Leadership: Gain visibility into total outstanding receivables, aging trends across the business, and the financial health of the client portfolio at any point in time.

 

Using Filters

Filters appear on the right side of your screen and help you focus on specific segments of your data. All filters default to "Include all" when you first open the report.

Available Filters

Filter Name What It Does When to Use It
Division Filters results to invoices tied to a specific employer or division. Use to review AR aging for a single division rather than the full agency.
Region Narrows results to invoices associated with a specific region. Use to assess receivables health within a particular geographic market.
Office Filters by the office associated with the invoice. Use when reviewing collections workload or aging exposure at the branch level.
Company Limits results to invoices for a specific company, filtered by company name. Use to pull a full AR aging view for a single client.
Representative Filters by the account representative assigned to the company. Use to review outstanding balances across all clients assigned to a specific rep.
Roll Up To Parent Company When set to Yes, consolidates child company balances under their parent company. Use when working with multi-location clients to see total exposure at the parent level.
Date Type Sets the date basis for calculating Days Outstanding: Accounting Period Date, Due Date, or Invoice Date. Select the date type that matches your organization's aging methodology before running the report.
As Of Date Runs the report as of a specific date, showing balances and aging as they stood on that day. Use for period-end reporting or to reconstruct AR aging at a historical point in time.
Age Group 1 Defines the upper boundary of the first aging bucket (bucket covers days 1 through this value). Set to match your first collection threshold, typically 30 days.
Age Group 2 Defines the upper boundary of the second aging bucket (covers Age Group 1 + 1 through this value). Set to your second collection threshold, typically 60 days.
Age Group 3 Defines the upper boundary of the third aging bucket (covers Age Group 2 + 1 through this value). Balances beyond this threshold appear in the "Over" bucket. Set to your final collection threshold before escalation, typically 90 days.
Note: Age Groups 1, 2, and 3 work together to define four aging buckets. Make sure each value is larger than the previous one. Invoices with Days Outstanding beyond Age Group 3 will appear in the "Over (Age Group 3) days" column.

Applying Your Filter Selections

  1. Click the edit icon next to any filter name to expand it.
  2. Make your selections by checking boxes or choosing from dropdowns.
  3. Click Apply to update the report with your filtered view.
  4. Click Cancel to discard changes and return to the previous filter state.

 

Reading the Data

The AR Aging report displays each outstanding invoice as a separate row, with balance amounts distributed across aging columns based on Days Outstanding. The aging bucket columns are dynamic — their labels and ranges reflect the Age Group values you set in the filters, so the report adapts to your collection schedule rather than a fixed structure.

Key Field Categories

Field Name Description
Invoice Employer The employer or division associated with the invoice.
Invoice Region The region associated with the invoice. Hidden by default — select it from the column chooser to display it in the report.
Invoice Office The office associated with the invoice.
Company Office The office associated with the client company on the invoice.
Company ID The company's unique identifier in Front Office / AviontéBOLD.
Bo Company ID The company's unique identifier in Back Office / Avionté Classic. Hidden by default — select it from the column chooser to display it.
Company The client company name on the invoice.
Department The company department or branch associated with the invoice.
Company Representative The account representative(s) assigned to the company, displayed as a comma-separated list.
Payment Terms The company's configured payment terms, sourced from Customer > Back Office Setup > Billing Setup in Avionté Classic.
Credit Limit The maximum credit amount authorized for the company.
High Limit The company's high credit limit threshold.
Phone Number The primary phone number on file for the company.
Last Company Payment Date The most recent date the company made a payment, evaluated as of the As Of Date.
Invoice Number The unique identifier for the invoice.
Invoice Date The date the invoice was issued.
Due Date The date payment on the invoice was due.
Days Past Due The number of days the invoice has been past its due date.
Invoice Amount The original total amount billed on the invoice.
Finance Charge Any finance charges applied to the invoice total.
Last Payment Date The most recent date a payment was applied to this specific invoice, evaluated as of the As Of Date.
Balance The total remaining balance due on the invoice.
DO (Days Outstanding) The age of the invoice in days, calculated based on the Date Type filter selected: Invoice Date, Due Date, or Accounting Period Date — each measured against the As Of Date.
Current Invoice balance for invoices with a Days Outstanding value less than 1 — not yet in any aging bucket.
1 – (Age Group 1) days Invoice balance for invoices with Days Outstanding between 1 and the Age Group 1 value (default: 1–30 days).
(Age Group 1) – (Age Group 2) days Invoice balance for invoices with Days Outstanding between Age Group 1 + 1 and the Age Group 2 value (default: 31–60 days).
(Age Group 2) – (Age Group 3) days Invoice balance for invoices with Days Outstanding between Age Group 2 + 1 and the Age Group 3 value (default: 61–90 days).
Over (Age Group 3) days Invoice balance for invoices with Days Outstanding exceeding the Age Group 3 value (default: over 90 days).
Credit Hold Code The reason code indicating why the company has been placed on credit hold.
DSO (Days Sales Outstanding) The number of days between the invoice date and the As Of Date, used as a measure of how long revenue remains in receivables.

Practical Applications

The AR Aging report empowers billing and finance teams to manage receivables with precision and confidence. Collections staff can sort by aging bucket to prioritize outreach to the clients with the oldest and largest outstanding balances, while account managers can review credit limit utilization before client calls. Finance managers can run period-end snapshots using the As Of Date parameter to validate closing balances or support audit requests. Leadership gains a clear view of total receivables exposure across the business, with the ability to drill into specific divisions, offices, or representatives. Customizable age buckets mean the report adapts to your collection schedule rather than the other way around.

 

Exporting Your Data

Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.

  1. Apply any filters you want included in your export.
  2. Click the three-dot menu icon (⋮) in the top right corner of the report area.
  3. Select your preferred format from the Download submenu:
    • Image: Creates a visual snapshot of the report as currently displayed.
    • CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools.
    • PDF File: Generates a formatted document suitable for printing or formal distribution.

Note: Your export will include only the data visible based on your current filter selections. To export all invoice data, ensure all filters are set to "Include all" before downloading.

Additional Export Options

The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.

 

Refreshing the Report

Avionté automatically refreshes report data every 5 minutes. If you want to see the most current invoice and payment data immediately after changing filters or after new transactions have been recorded, you can manually refresh.

  1. Locate the circular arrow icon above the filter panel on the right side of the screen.

  1. Hover over the icon to see it expand and display the word "UPDATE."
  2. Click the icon to re-run the report based on your current filter selections.

The report will reload with the latest data from your database, reflecting any new invoices, payments, or balance changes since you last viewed it.
