Enhanced Declined Candidate Report

The Declined Candidate report provides a detailed record of every candidate declined on a job, including the decline notes, the user who performed the decline, and the recruiting stage from which the candidate was removed. Use this report to review declination patterns, support quality audits, and maintain a complete picture of your recruiting activity.

Accessing the Report

  1. Click on the Analyze tab.
    The Reports sub tab will automatically be selected.
  2. In the Search Reports field, type DECLINED.
  3. Click on the Declined Candidate report.
Note: The report automatically loads with all filters set to include all data. Data refreshes every 5 minutes to reflect current recruiting activity.

Understanding This Report

What This Report Shows You

The Declined Candidate report displays each candidate declination as a separate row, capturing the job the candidate was declined from, the stage they were in at the time of decline, the user who performed the action, and any notes recorded with the decline. Each row represents a single decline event, giving you a full, auditable log of recruiting decisions across your organization.

Why Use This Report

This report helps you manage recruiting accountability and answer critical operational questions:

  • Which candidates were declined for a specific job, and at what stage?
  • What reasons or notes were recorded at the time of each decline?
  • Which users are performing declines, and how frequently?
  • Are decline notes being consistently captured across your team?
  • How many candidates were declined within a given date range?
  • Which companies or jobs are generating the most declinations?
  • Are candidates being declined early in the process or further along in the pipeline?

Customizing and Sharing This Report

Columns: Show or hide columns using the column selector. Drag columns to reorder them. Click any column header to sort.

Filters: Use the filter panel on the right to narrow results. All filters default to "Include all."

Sharing (INSIGHTS users): Save a customized view and share it as a dashboard tile with your team.

Sharing (Standard users): Export the report as a CSV, PDF, or image. See the Enhanced Standard Reporting Overview article for full details.

Using Filters

Filters appear on the right side of your screen and help you focus on specific segments of your data. All filters default to "Include all" when you first open the report.

Available Filters

Filter Name What It Does When to Use It
Company Limits results to declines associated with jobs at a specific company. Use when reviewing declination activity for a single client or account.
Date From Sets the start of a custom date range for the decline activity date. Use with Date To to define a specific reporting window.
Date To Sets the end of a custom date range for the decline activity date. Use with Date From to close out a specific reporting window.
Date Range Applies a preset date range (e.g., Yesterday, Today, This Week) to filter decline activity. Use for quick, recurring views without manually entering date values.
Note: When using Date Range, the Date From and Date To fields automatically disable. Select either Date Range or manually enter Date From and Date To — not both.

Applying Your Filter Selections

  1. Click on the edit icon next to any filter name to expand it.
  2. Make your selections by checking boxes or choosing from dropdowns.
  3. Click Apply to update the report with your filtered view.
  4. Click Cancel to discard changes and return to the previous filter state.

Reading the Data

The Declined Candidate report displays each decline event as a separate row with full details about the job, the candidate, the stage, the user, and any documentation recorded at the time of the action. The field list gives you everything you need to export, audit, or analyze declination activity for any date range or company.

Key Field Categories

Field Name Description
Requisition ID The system-generated Job ID (visible in the URL) for the job the candidate was declined from.
Requisition The job's Requisition ID as entered in AviontéBOLD.
Job Title The title of the job the candidate was declined from.
Company The company associated with the job.
Applicant The full name of the declined candidate.
Type of Activity The activity type logged for the decline event.
Activity Date The date the decline activity was logged in the system.
User The Avionté user who entered the decline activity.
Notes Any notes recorded by the user at the time of the decline.
Activity Category The category assigned to the decline activity.
Applicant City The city on file for the declined candidate.
Applicant Email The email address on file for the declined candidate.
Current Position Title The candidate's most recent job title based on their job history in Avionté.

The Declined Candidate report gives recruiting teams a complete record of every candidate removed from a job, making it a powerful tool for accountability and continuous improvement. Managers can run this report at the end of a hiring cycle to confirm that decline notes were captured consistently across the team. Compliance teams can pull a date-scoped export to support internal audits or fair hiring reviews. Recruiters can filter by company to review their own declination history for a specific client, confirming that every decision is documented before a role closes. Operations leaders can analyze stage distribution to identify where strong candidates are exiting the funnel most often, then use those insights to strengthen screening criteria or adjust job requirements upstream.

Exporting Your Data

Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.

  1. Apply any filters you want to include in your export.
  2. Click the three-dot menu icon (⋮) in the top right corner of the report area.
  3. Select your preferred format from the Download submenu:
    • Image: Creates a visual snapshot of the report as currently displayed.
    • CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools.
    • PDF File: Generates a formatted document suitable for printing or formal distribution.

Note: Your export will include only the data visible based on your current filter selections. To export all declined candidate records, ensure all filters are set to "Include all" before downloading.

Additional Export Options

The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.

Refreshing the Report

Avionté automatically refreshes report data every 5 minutes. If you want to see the most current information immediately after changing filters or after new decline activity has been logged, you can manually refresh.

  1. Locate the circular arrow icon above the filter panel on the right side.

  1. Hover over the icon to see it expand and display the word UPDATE.
  2. Click the icon to re-run the report based on your current filter selections.

The report will reload with the latest data from your database, reflecting any new declines, reinstated candidates, or updated notes since you last viewed it.
