Billing in BOLD

Note: Billing in BOLD is currently available only to early access participants. Submit a support ticket or contact your CSM to opt in.

The Billing tab on a company's record in Avionté BOLD includes two areas: Invoice and Credit Limit. The Invoice tab lists the company's invoices and lets you view, download, and print them. The Credit Limit tab lets agencies view and manage a company's credit limit, Payment Options, and Hold Code — all without switching to Back Office.

Invoice Tab

Open a company's record and go to the Billing tab, then select Invoice. By default, the Invoice Summaries list shows all invoices for the company.

Note: Visibility of the Invoice tab is controlled by the existing Company Invoices permission — this relocation does not introduce a new permission.

Filtering Invoices

Click Filter in the top right to open the filter panel:

  • Invoice Date Range — select a date range for the invoice search.
  • Company Office — search for and select a specific office, or leave blank to include all offices.
  • Invoice Status — check Only open invoices to include only open invoices.

Click Apply to run the filter, or Cancel to close the panel without changes.

Viewing, Downloading, and Printing an Invoice

  1. Click an Invoice icon in the View Invoice column.

Invoice Audit

Click the i icon next to an invoice in the Invoice Summaries list to open its audit log. It shows what changed on that invoice, the previous and new values, who made the change, and when — the same audit pattern used elsewhere in BOLD for Talent, Jobs, Companies, and Contacts.

Searching and Loading

When filtering, it may take a few seconds for the data to load — the larger the date range, the longer it may take. You may briefly see the following on the Invoice tab while the data loads.

Invoices on the Invoice tab are always scoped to the company record you are viewing.

Credit Limit Tab

Open a company's record, go to the Billing tab, and select Credit Limit. This section shows:

Credit limit configuration applies at the company level only — Back Office DRMs validate against the company's total credit limit, not individual company offices.

  • Credit Limit — the company's credit limit.
  • Current AR Balance — read-only, and reflects the balance from Back Office in real time. There is no manual entry required.
  • Hold Code — controls what happens when a company reaches its credit limit (for example, a credit check or a negative-credit flag). The options available in this dropdown are configured by administrators in the Config Choice section of BO Admin Tools, and only hold codes enabled for the company's office are shown.
  • Alert Value Type and Alert Value — sets the threshold that triggers a credit limit alert, as either a flat dollar amount or a percentage. This is configured by the account owner. Switching the Alert Value Type updates how the Alert Value is displayed without changing the underlying threshold.
  • Payment Options — the company's bank information (bank name, account number, routing number, and notes) used for payment processing. Multiple payment options can be added, with one marked as the Default.

To add a new payment option, click + New Payment Option, enter the Bank Name, Account Number, Routing Number, and any Notes, and click Save. To edit an existing payment option, click the pencil icon next to it; to remove one, click the trash icon. Select the radio button next to a payment option to set it as the Default. Account Number and Routing Number are masked; click the eye icon next to either field to reveal the value.

The Credit Limit Exposure slider shows how much of the company's credit limit has been used, based on the Current AR Balance. The red marker on the slider is the alert threshold — a DRM in Back Office fires when the AR Balance reaches it.

Note: Credit limit notifications are unchanged by this feature. Agencies continue to receive credit limit alerts in Back Office through the existing DRMs in time entry and payroll, not in BOLD. See Customer Back Office Setup - Credit for details on the Warning Value and DRM setup.

Editing the Credit Limit, Hold Code, or Alert Value requires the Edit Credit Limit permission that must be enabled for a user by an administrator.

Audit Trail

Every change made to a company's credit limit is recorded in BOLD Audit, including the previous value, the new value, the user who made the change, and the date and time.
