What do I do with my existing E-Verify account(s) when getting implemented with the Equifax Workforce Solutions I-9 Integration?

A stand alone (independent) E-Verify Account will not be automatically terminated when a new account is created for the same employer.  A request should be made to have the independent account terminated.

 

The account  termination can be requested by contacting Customer Service at 888-464-4218 or e-mail at e-verify@uscis.dhs.gov. An E-Verify representative can be reached Monday—Friday from 8:00 a.m. to 8:00 p.m. Eastern time.

 

 

If I have an existing I-9 account with Equifax, can my historical data be tied to my new account used through the integration in BOLD?

If you are using an Equifax I-9 platform besides simplifi-9, there is currently no connector that would load history into simplifi-9 for clients who are using the Equifax integration with BOLD.  The best option at this point is for clients to manually download/upload their historical I-9's using the Digitization/Remediation service offered by simplifi-9.

 

 

Why haven't I received an email to sign my MOU?

The email comes from the DHS (enrollment@uscis.dhs.gov) and due to email filters can tend to land in the junk folder.  If its been more than 24 hours since the account was requested and the MOU has yet to be signed, you will need to contact Equifax support to have the email resent since the email expires after 24 hours.

How do I terminate an existing MOU?

Contact Equifax Support and they can assist with terminating your existing MOU with simplifi-9.

How do users login to the Equifax site?

Users will not use a username and password to login directly to the Equifax site.  User can utilize the 4 Equifax access points from within BOLD to access the Equifax site.  Upon clicking these buttons in BOLD, a new browser tab opens, bringing the user to the designated page on the Equifax site.

How do BOLD offices get created as locations in Equifax?

Offices are created as locations in the Equifax portal through a few different processes.

  1. When a new Equifax I-9 account is created from the BOLD Marketplace, all offices are sent to Equifax with the office address, employer name, and FEIN.
  2. If a new office is created after the Equifax account is configured in the BOLD Marketplace, the office will be sent to Equifax when a talent, who's home office is the newly created office, is sent an Equifax Workforce Solutions I-9 onboarding task.

 

 

How do I add or manage locations and users in my Equifax account?

All locations and users should be created and managed within BOLD.

 

 

What is the process for hiring a talent under a different FEIN than their home office employer?

From the Talent > Onboarding screen > Click the Send Onboarding Tasks button > Update the Employer dropdown to be the employer the talent is getting hired under > Select the Equifax Workforce Solutions I-9 task > Click Send.

The talent record gets created in Equifax under the selected employer, but because a specific office wasn't selected in BOLD, the employee location in Equifax may not be accurate.

IMPORTANT: User should review the talent’s location in Equifax before completing Section 2 and correct it if necessary by clicking Actions > Update Location.

If a talent completes I-9s under different employers, will there be separate Equifax employee records for these I-9s?

Yes, a separate employee record will exist in Equifax if the talent completes I-9s under different employers.

If I delete a talent's Equifax Workforce Solutions I-9 onboarding task in BOLD, will that automatically purge the I-9 in Equifax?

No, the I-9 will need to be purged manually by an admin user on the Equifax portal.

If I delete a talent's Equifax Workforce Solutions I-9 onboarding task in BOLD, and then send a new task to the talent, will the talent have two I-9s in Equifax?

There are two possible options for this situation:

  1. If the task was deleted in BOLD before the talent completed Section 1, then a user will be able to send a second I-9 task to the talent.  In Equifax there will only be one I-9 record.
  2. If the task was deleted in BOLD after the talent completed Section 1, then a user WILL NOT be able to send a second I-9 task to the talent until they purge the original I-9 on the Equifax portal.

What is the process if a talent's employment has been terminated?

If a talent’s employment has been terminated, users may navigate to the talent’s Employee Record in the Equifax portal and enter a termination date from the Actions dropdown. Once a termination date has been entered, the Equifax portal will apply the USCIS Form I-9 Retention Formula and automatically purge the I-9 in the portal when the appropriate time comes.

 

I am moving to AviontéONBOARDING, what do I do with my historical I-9s?

It is a good business practice to have all of your I-9s in one database-- but not necessary. It is an option to have these merged together but for a hefty fee. Please work with Equifax on details surrounding this. 

 

I was previously using an Avionté provider, ADOBE/Maximus for my I-9, will my job requirements still work?

When the Maximus onboarding task is completed that mean and I-9 is completed as of that date.  This is stored in BOLD as a completed onboarding task.  the "new fill job requirements" look at this value to validate they are able to be placed on the job.  Furthermore this "new fill job requirements" will look at the Adobe and Equifax I-9 so the same logic will pick up if a Maximus/Adobe/Equifax had been completed.  

How can I remove an Admin User from the Equifax Integration?

Select the user from the Admin dropdown, and then click Add. This will add an X to their name. To remove them, click that X.
