Creating a New Company and Contact

AviontéBOLD provides flexible options for creating and managing company profiles, including manual entry, ECHO browser plugin imports, and Outlook integration. The platform now supports Parent Company associations, allowing you to establish relationships between national accounts and their locations, streamlining your workflow for multi-location clients.

Manually Create a Company

To create a new company manually:

  1. Hover over the Companies tab to reveal additional options
  2. Select Add New Company to open the Create New Company flyout

  3. Complete the required fields (marked with "*")—your admin configures these requirements through Table Editor New Company Requirements

  4. Select Company Type. The company should be designated as a Parent Company if it represents a national account or corporate headquarters. Companies marked as Parent Company become available for association with other company locations. If you do not see the Company Type dropdown in your system, contact Support to enable this feature.

    Note: There are two separate requirements for working with Company Types — feature enablement and user permission. Contacting Support enables the Company Type dropdown in your system, but users also need the Company Types permission assigned to their role before they can designate a company as a Parent during creation or manage Linked Parent Company associations on existing records. An admin can assign this permission in Account & Settings > User > Edit Access > Admin > Company Types. Both the feature and the permission must be in place for a user to fully manage Parent company records.

     

  5. Associate with a Parent Company (if applicable). If this company is a location or subsidiary of an existing organization, select the appropriate Parent Company from the Linked Parent Company drop-down. This creates a clear organizational structure that reflects your real-world client relationships—particularly valuable when managing hospitality properties, staffing across multiple locations for the same national account, or tracking corporate hierarchies.

  6. Once all required information has been entered, click Submit to save the company record.
  7. A notification confirms the company has been created. Click View to open the full company record

⚠ Important: Existing Records and the Company Types Feature

All company records created before the Company Types feature was enabled will display as Standard by default. If any of those records need to be designated as Parent companies, that change cannot be made through the front end at this time — contact Aviontė Support to have the update made on the back end.

 

Editing Company Details

⚠ Phase 1 Limitation: Company Type Cannot Be Changed After Creation

A company's type cannot be changed from Standard to Parent through the front end after the record has been created. If a record needs to be updated to a Parent type, contact Aviontė Support to have the change made on the back end. This is a Phase 1 limitation and not a permanent restriction.

  1. Edit company information by clicking the "edit" buttons throughout the company record. You can update information in separate sections: Main company display, Company Dashboard, Company Information, Operational Information, and Industry Information.

  1. Within Company Information, you can apply a Company Email Rule to standardize email formats for the company, such as firstname.lastname@domain.com.

    ⚠ Updating the Linked Parent Company Mid-Period The Linked Parent Company field can be updated at any time, but open transactions in time entry will not automatically reflect the change. Before invoicing, apply the updated parent to open transactions manually by navigating to Time Entry and selecting Actions > Update from Assignment for the affected transactions. Skipping this step will leave the parent company metadata on in-flight transactions tied to the previous parent.

     

  2. If you have the appropriate admin rights, you can delete a company by selecting the edit button in the header section and clicking Delete this Company.

Finding Companies by Type or Parent Company

Use the enhanced search capabilities to locate companies based on their organizational structure.

  1. Company Type Search: Filter your search to show only Parent Companies, making it easy to view your national accounts and corporate headquarters at a glance.

  2. Parent Company Search: Find all companies linked to a specific Parent Company. This search term reveals the complete company tree, showing you all locations or subsidiaries associated with a parent organization. 
    1. Select Standard from the Company Type drop-down menu. 
    2. Type the Linked Parent Company name in the Company Name field

  3. When the user searches for Companies and they have the Company Types feature enabled, they have access to these search result columns:
    1. Company Type, which will display either Standard or Parent
    2. Linked Parent Company, which will show the value of a Linked Parent Company on a Standard Company record

Adding Contacts

  1. Within the company record, click Add New Contact
  2. Complete the Create New Contact flyout with the contact's information
  3. Submit to save the contact to the company

 

Using the Outlook Add-in

Contacts can also be imported into Avionté using the Outlook Plugin.

  1. Select the Create Contact Add-in
  2. Fill out the information fields
  3. Click OK and the contact profile will be created.
