When Manual Changes Aren't Necessary
If you have a contractor and would like to complete their assignment on schedule, change the end date within their hire details. Once the end date passes naturally, the contract will automatically change from 'Filled' to 'Completed', and the badge within the contractor's profile will update. No manual intervention is required for assignments ending as originally planned.
When to Use This Process
Use this process only when you need to:
- Extend a contractor's assignment beyond the current end date
- Terminate a contractor's assignment early
Important Note: The ability to edit active contracts is only available for “Finance Admin” users. If you are not a Finance Admin, you will not see the EDIT buttons within the contract. Contact your Finance Admin to make these changes.
Understanding Contract Extensions: "Yes" vs "No"
When extending a contract, you'll be asked: "Extend Contract?" Your answer determines how the system processes the change.
Extend Contract: "Yes" (Formal Extension)
- System Behavior: Treats this as a new phase of the assignment
- Visual Indicator: Gold asterisk appears next to start/end dates
- Operations & Financials Widget: Will NOT update to the new date until the original end date passes
- Audit Trail: Requires a reason for extension; preserves original contract data for reporting and financial forecasting
- Use Case: When you need to track contract extensions separately for the Contract Falloffs Report
Extend Contract: "No" (Date Correction)
- System Behavior: Treats this as a correction to the original assignment
- Visual Indicator: No asterisk appears
- Operations & Financials Widget: Updates immediately to reflect the new date
- Audit Trail: No reason required; no historical tracking of the change
- Use Case: When the original end date was entered incorrectly, or you need immediate updates for "Estimated Hours" calculations

Setup
- Navigate to the main Job Details page for the assignment.
- Locate the contractor whose assignment you would like to modify in the Hired Details tab and click the Edit icon to the right of their name.
Note: Widget locations are customizable per user and may differ from screenshots.
- In the hired details fly-out, locate the End Date field and click it.
A calendar will open, allowing you to select a new end date.
For Contract Extensions
- Select a date later than the current end date.
A prompt will appear asking "Extend Contract?"
- DECISION POINT - Select the appropriate radio button:
→ Select "Yes" if this is a formal extension you want to track:
- The Reason for Contract Extension dropdown will appear immediately
- Select a reason from the dropdown (e.g., "Extension")
- Review the system message at the bottom, confirming when changes take effect
- Click Save
- After saving, a gold asterisk will appear next to the contractor's start and end dates
- Note: The gold asterisk indicates the date has been extended, though the original end date in the Operations & Financials widget will not update to the new extended date until after the original date has passed
→ Select "No" if you're correcting an incorrect date or need immediate visibility in forecasting:
- No additional fields appear
- Click Save
- No asterisk appears
- The Operations & Financials widget updates immediately to show the new date
No extension reason is captured for reporting
7. After clicking Save, you will be returned to the job page. A gold asterisk will appear next to the contractor's start and end dates.
Note: The gold asterisk indicates the date has been extended, though the original end date in the Operations & Financials widget will not update to the new extended date until after the original date has passed.
For Early Terminations8. Return to the End Date field in the hired details fly-out and click it.
Select a date earlier than the current end date.
- A confirmation prompt will appear asking you to confirm the termination.
- Select a Reason for Termination from the drop-down menu.
- Click Save. You will be returned to the hired details page, and a red asterisk will appear next to the contractor's name indicating the early termination was applied.
