Creating a Shift Schedule
Shift schedules can be created either system-wide, which will make them available for all companies within your system, or at a company level, which will make them available only for jobs created under that specific company. Below is an overview of how to create these in each location.
Permissions
- Before creating a shift schedule, you will need to ensure your users will have the correct permissions to see them. To add these, have your admin user log in to Bold, and navigate to the User Accounts page via the Account & Settings drop-down menu.
- Find the user who needs Shift Management permissions and click the Edit Access button located to the right side of their name.
- Locate the permission Shift Management under the Admin tab, select it, then click Save.
- The user will need to log out and back in to Bold for the new permissions to take effect.
System Level
- Return to the main myDashboard page in Bold and navigate to the Utilities page under your Account & Settings menu.
- Using the search bar, locate and select the Shift Configuration tab.
- A new page will open, showing all previously made system-level shift schedules. To create a new schedule, click the New Shift button.
- A pop-up will open where you will fill in the name, description, shift schedule type, shift days, start and end times, break hours, and office access for the shift you are creating.
- Once the required fields have been filled, click Save Shift.
- You will be returned to the previous screen, and the shift schedule you have created will now be visible in the list of Shift Schedules.
Company Level
- Log in to Bold and navigate to the Requirements Tab of the company where you want to create the shift.
- Under the Shift Schedules section, click New Shift.
Adding a Scheduled Shift to a New Job
- When creating a new job within a company that has shift schedules, you'll notice a section labeled 'Shift Schedule.' To apply a scheduled shift to this job, simply toggle this section to the 'On' position.
- Once toggled "On," the section will refresh with two options: select an existing shift schedule or create a new one specifically for this job. After selecting or creating your desired schedule, proceed with completing the job creation process as normal.
- The job functions exactly like any other job in the system. Simply assign talent using your standard process. The shift schedule will be visible in two locations:
-
- Under the Shift Schedule section of the job page in Bold.
- In Back Office (after enabling sync - see "Enabling Shift Sync in Back Office" section below). To view shifts in Back Office:
- Navigate to the order
- Select "Detail" from the lower-left frame
- Click "More Info" from the vertical tabs on the right
- The shift schedule information will then be visible at the top of the middle section.
- Under the Shift Schedule section of the job page in Bold.
-
Enabling Shift Sync in Back Office
Before the shifts you create will sync to Back Office, this feature must first be enabled by your Back Office admin user. If you do not use Back Office, you can skip this section; otherwise, please have admins follow the steps listed below to do so.
- Log in to Back Office, and on the Start Page, click Actions, and from the drop-down menu that will open, select Admin Tools.
- In the pop-up that will open, select System on the left-hand side under Category, and then double click Config Option in the list to the right.
- Select the type System from the drop-down in the upper left, and ensure SystemSettings is selected for the OptionType in the middle section.
- Locate the property BOscheduledSync129196 on the right side and change its value to True. Press the Tab key after making this change to save the setting.
- Once done, close all pop-ups and restart Back Office to apply the change.
Note: Shift details become visible in the Back Office as soon as a Job Order with a shift schedule is created.
Break Hour Field Functionality
Important Clarification on Break Hour Field Usage:
- The break hour field is intended for paid break hours; the break hours in this area do NOT reduce the total working time calculated by Avionte when entered
- Only a total amount of paid break hours can be inserted at this time; no additional enhancements for this area are currently planned
- When entering break hours, the arrows to add break hours in the field are at 1-hour increments; however, you can enter decimals to indicate break times shorter than 1 hour:
- 15 minutes = 0.25 hours
- 30 minutes = 0.5 hours
Shift Schedule Visibility
The Shift Name is visible in the following locations:
- Shift Schedule widget of the Job Details Screen
- More Info Tab of the Order Details Sub Menu Item
- Standard Reports:
- Active Consultant

- INSIGHTS Reports:
- Comprehensive Job

- The shift schedule is currently not visible on Dashboard Widgets
Bonus Tips!
- When implementing Shift Schedule Templates, take a look at any Talent Tags related to Shifts and update to allow for easier matching between Shift need and Talent availability or preference!
- Admin Users can view Talent Tags by navigating to Table Editor > Talent Tags
- Multiple Shift Schedule Templates can be attached to ONE (1) Job Order Template
- If you have a Client that needs Forklift Operators for three shifts, you can create One Job Order Template and attach 3 Shift Schedule Templates, and select the appropriate shift from the dropdown when creating the Job Order
- This will simplify the number of Job Order Templates you need for your Client!
