Shift Schedule Templates

The shift schedule templates feature allows you to set company-specific shifts for positions, which can easily be viewed in both Bold and Back Office.

Creating a Shift Schedule

Shift schedules can be created either on a system-wide level, which will make them available for all companies within your system, or at a company level, making them available only for jobs created under that specific company. Below is an overview of how to create these in each location.

Permissions

  1. Before creating a shift schedule, you will need to ensure your users will have the correct permissions to see them. To add these, have your admin user login to Bold, and navigate to the User Accounts page via the Account & Settings drop-down menu.Bold - myDashboard - Account & Settings Drop-Down Menu & User Accounts Highlighted.png
  2. Locate the user you would like to add these permissions for and click Edit Access to the right of their name.Bold - Utilities - User Accounts - Edit Account Highlighted.png
  3. Locate the permission Shift Management under the Admin tab, and select it, then click Save.Bold - User Access - Shift Management Permission & Save Highlighted.png
  4. The user will need to log out and back in to Bold for the change to finalize.

System Level

  1. Return to the main myDashboard page in Bold and navigate to the Utilities page under your Account & Settings menu. Bold - myDashboard - Account & Settings Drop-Down.png
  2. Using the search bar, locate and select the Shift Configuration tab.Bold - Utilities - Search Complete - Shift Configuration Highlighted.png
  3. A new page will open, showing all previously made system level shift schedules. To create a new schedule, click the New Shift button. Bold - Utilities - Shift Configuration - New Shift Button.png
  4. A pop-up will open where you will fill in the name, description, shift schedule type, shift days, start and end times, break hours, and office access for the shift you are creating. Bold - Utilities - Shift Configuration - New Shift Pop-Up.png

  6. You will be returned to the previous screen, and the shift schedule you have created will now be visible in the list of Shift Schedules. Bold - Utilities - Shift Configuration - Shifts Section.png

Company Level

  1. Login to Bold and navigate to the Requirements Tab of the company you would like to create the shift for.
  2. Under the Shift Schedules section, click New ShiftBold - Companies - Company Profile - Requirements Tab - New Shift Button.png

  3. A pop-up will open where you will fill in the name, description, shift schedule typeshift days, start and end times, break hours, and office access for the shift you are creating. Bold - Companies - Company Profile - Requirements Tab - Add New Shift Pop-Up.png

  5. You will be returned to the previous screen, and the shift schedule you have created will now be visible in the list of Shift Schedules. Bold - Companies - Company Profile - Requirements Tab - Shift Created & Highlighted.png

Adding a Scheduled Shift to a New Job

  1. When creating a new job for the company you have created the shift schedule for, you will see a new section named Shift Schedule. To add a scheduled shift to a job, toggle this section to On.   2. Once set to on, the section will refresh, giving you the option to either select a pre-created shift schedule, or to create a new shift schedule specifically for the job in question. Once you have selected the shift schedule created in the first section of this article or entered the information for a new shift schedule here, continue to create the job as usual.   3. The job will then act the same as all other jobs, and you will assign talent to it as you usually would. The shift schedule will be visible in two locations:
    1. Firstly, you will be able to see it under the Shift Schedule section of the job page in Bold. Bold - Jobs - Job Page - Shift Schedule Section Highlighted.png

    2. Second, you will also be able to view the schedule from Back Office if you have set up Back Office sync. Please see the next section of this article, Enabling Shift Sync in Back Office, for how to enable this. Navigate to the order, select Detail from the lower-left frame, and then select More Info from the vertical tabs on the right. Back Office - Order - Detail - Order Detail & More Info Highlighted.png

Enabling Shift Sync in Back Office

Before the shifts you create will sync to Back Office, this feature must first be enabled by your Back Office admin user. If you do not use Back Office, you can skip this section, otherwise, please have them follow the steps listed below to do so.

  1.  Login to Back Office, and on the Start Page, click Actions, and from the drop-down menu that will open, select Admin Tools.Back Office - Start Page - Actions Menu & Admin Tools.png

  2. In the pop-up that will open, select System on the left-hand side under Category, and then double click Config Option in the list to the right.Back Office - Start Page - Admin Tools - System & Config Options.png

  3. Select the type System from the drop down in the upper left, an ensure SystemSettings is selected for the OptionType in the middle section.

  4. Locate the property BOscheduledSync129196 on the right and set it to True. Hit the Tab key once you have entered this to save the change.   5. Once done, close all pop-ups and restart Back Office to finalize the change.
