Customizing and Sharing This Report

Columns: Use the column selector to show, hide, or reorder columns to match your workflow.

Filters: Your filter selections are remembered between sessions — the report opens with your last-used settings automatically.

Sharing (INSIGHTS users): You can duplicate, rename, and share customized versions of this report with team members, and schedule automated delivery by email. System-level reports remain unchanged and available to all users.

Sharing (Standard users): You can duplicate this report and customize filters for personal use. To share a customized version with your team, duplicate the report, apply your preferred filters, and share it directly with individual users. System-level reports cannot be modified or set as a default for all users. See Enhanced Standard Reporting Overview for more detail.

The Open Position Snapshot Report provides a streamlined overview of current open positions with essential job details and status information. Track job status, company details, requisition IDs, office locations, position titles, and dates opened across all your open jobs. This snapshot facilitates efficient workforce planning and talent acquisition by offering quick visibility into which positions need immediate attention and helping you monitor open job distribution across your organization.

Accessing the Report

  1. Click on Analyze Tab
    The Reports Sub Tab will automatically be selected
  2. In the Search Reports field, type OPEN POSITION SNAPSHOT
  3. Click on the Open Position Snapshot Report
Note: Reports load with the initial default. Once you adjust filters, the report remembers your selections for future sessions. If you see unexpected results, check your active filters in the right panel. The data you see depends on your security permissions—users with restricted access may see fewer positions than colleagues with broader visibility.

What This Report Shows You

The Open Position Snapshot Report displays each open job as a separate row with essential position details and status information. Each row shows the job status, job type, requisition ID with clickable link, company name with link, date opened, branch location, position title, and job board location. This streamlined view provides quick visibility into your current open positions, helping you identify which jobs need immediate attention and track position details across your organization.

Why Use This Report

This report helps you manage day-to-day operations and answer critical questions:

  • Which open positions are available across different branch locations?
  • What types of jobs (contract, direct hire, etc.) do we currently have open?
  • Which companies have the most open requisitions?
  • How long have specific positions been open (based on date opened)?
  • Which branch offices have the highest number of open positions?
  • What position titles are currently available across the organization?
  • Which open jobs are located in specific cities or regions?

Who Benefits From This Report

Different roles use this report to address specific operational needs:

HR Managers: Track open position distribution across branches and companies, monitor which job types have the most openings, and ensure positions are being addressed in a timely manner by reviewing date opened metrics across the organization.

Recruiters: Quickly identify which positions are currently open and need candidate sourcing, view company and branch assignments for each open job, and prioritize their recruitment efforts based on position titles, job types, and locations.

Project Managers: Monitor open position counts by office location to allocate recruiting resources effectively, track which companies have multiple open requisitions requiring coordinated efforts, and ensure adequate coverage across different job types and branches.

Finance Managers: Analyze open position patterns across different job types for budgeting and resource planning, track which branches or companies have the highest unfilled position counts, and forecast hiring needs based on the current snapshot of open jobs.

Using Filters

Filters appear on the right side of your screen and help you focus on specific segments of your data. All filters default to "Include all" when you first open the report.

Available Filters

Division Filters by employer entity associated with the job Review open positions for a specific business unit or employer entity (not all accounts have divisions enabled)
Region Filters jobs by geographic region Compare open position metrics across territories or analyze regional hiring needs
Office Filters jobs by branch location Evaluate individual branch performance or investigate office-specific open positions
Company Filters by client company Focus on open positions for specific customers or analyze hiring needs by client
Job Type Filters by job classification (contract, direct hire, temp-to-perm, etc.) Compare open position patterns across different employment types
Sales Rep Filters by sales representative assigned to the job Review open positions managed by specific sales team members

Note: The Credit To Nominate and Credit To Pipeline filters track different stages of candidate credit attribution. The Nomination Status and Pipeline Status filters help you focus on positions with candidates at specific stages in their respective workflows.

Applying Your Filter Selections

  1. Click on the edit icon next to any filter name to expand it
  2. Make your selections by checking boxes or choosing from dropdowns
  3. Click Apply to update the report with your filtered view
  4. Click Cancel to discard changes and return to the previous filter state

Reading the Data

The Open Position Snapshot Report displays each open job as a separate row with essential details about position status, company information, location, and job timing. The streamlined field set allows you to quickly scan open positions and identify those requiring immediate attention.

Key Field Categories

The report provides 10 key fields that give you a clear snapshot of open position details.

Status Current status of the job (Open, On Hold, etc.)
Job Type Job classification (I&M - Contract, Direct Hire, Temp-to-Perm, etc.)
Requisition ID Unique job requisition identifier
Requisition ID Link Clickable link to the job requisition details
Company Client company name for the job
Company Link Clickable link to the company profile
Date Opened Date the job was entered into the system (displayed as M/D/YY format)
Branch Job's office or branch location (e.g., "Houston In...")
Position Job position title (e.g., "Production Technician," "Part-time Driver")
Job Board Location City and state where the job is located (e.g., "Houston, TX," "Sugar Land, TX")

Exporting Your Data

Export your report data to share with stakeholders, perform additional analysis, or maintain records outside of Avionté.

  1. Apply any filters you want to include in your export
  2. Click the three-dot menu icon (⋮) in the top right corner of the report area
  3. Select your preferred format from the Download submenu:
    • Image: Creates a visual snapshot of the report as currently displayed
    • CSV File: Exports raw data compatible with Excel, Google Sheets, and database tools
    • PDF File: Generates a formatted document suitable for printing or formal distribution

Note: Your export will include only the data visible based on your current filter selections. To export all open positions, ensure all filters are set to "Include all" before downloading.

Additional Export Options

The three-dot menu also provides options to repeat rows (useful for printing), merge rows, and other display customizations. These settings affect how your report appears on screen and in exports.

Refreshing the Report

Report data refreshes automatically in the background. However, if you want to see the most current information immediately after changing filters or if you know positions have been added or updated, you can manually refresh.

  1. Locate the circular arrow icon above the filter panel on the right side

  1. Hover over the icon to see it expand and display the word "UPDATE"
  2. Click the icon to re-run the report based on your current filter selections

The report will reload with the latest data from your database, reflecting any new open positions or changes since you last viewed it.
