Choice Screening Background Check Integration (v2)

Choice Screening is a BSCC-accredited screening provider with over 15 years of staffing industry experience, offering background checks, drug and alcohol screening, professional verifications, driving records, credit reports, and more. The Choice Screening integration with AviontéBOLD allows you to order screening services directly in BOLD and receive results in a report within the interface.

Integration Setup

This is a self-serve integration — you can enable and configure it as long as you have your account credentials from Choice Screening. Users must have the Marketplace Admin user permission enabled to set up and configure the integration.

Marketplace Integration Enablement

Find the Choice Screening integration in the Marketplace. There may be two Choice Screening tiles — select the one with a description mentioning 2021. From the tile, you can:

  • Learn more about Choice Screening and the integration offering
  • Enable the integration yourself if you are an existing Choice Screening customer with your credentials ready

Choice Screening Account Configuration & Validation

To activate the Choice Screening integration in BOLD, enter the following credentials provided by Choice Screening:

  • Client ID – Provided by Choice Screening
  • Client Secret – Provided by Choice Screening

Click the Verify Account button to validate your credentials.

Validation Errors

An error will display in the following situations:

  • Required credentials are missing
  • The Client ID is invalid
  • The Client Secret is invalid

Marketplace Integration Configuration

Once your Choice Screening account is validated, complete the integration configuration settings below.

Property Value Description
Bill Transaction Type Dropdown List of transaction types synced to BOLD from Classic. Used as part of the background check fee bill back feature.
Consent Type [Provider / Staffing Company] Provider The background check provider will send the consent form to the talent.

Requires the following talent data to place an order:

  • First Name
  • Last Name
  • Email Address
  • Phone Number
Staffing Company The staffing company will send the consent form to the talent.

Requires the talent to complete a consent form before the system allows a background check order to be placed. Consent is logged on the Talent > Screening page:

  • Consent Toggle = Yes
  • Consent Date logged

Requires the following talent data to place an order:

  • First Name
  • Last Name
  • Email Address
  • Phone Number
  • Address
  • SSN
  • Date of Birth
Default Package Expiration Numeric Sets a default value (in days) that prepopulates the expiration field in the New Background Check aside when ordering.
Location ID Provided by Choice Screening Each Choice Screening Location ID needs to be mapped to a BOLD office.

Marketplace Audit

Changes to the integration configuration are tracked in the Marketplace Audit. You can filter the Marketplace Audit by:

  • Integration
  • User
  • Date Range

A search field is also available for keyword searches within the audit log.

User Level Permissions

User level permissions give you flexibility to control what each user can do with background check data and features. For example, you can configure a user to:

  • Order and view results
  • Order only (no results access)
  • View results only (no ordering)
  • Order without the ability to bill back the fee to the company

Bill to Company True User can create company billing transactions for background check fees and edit existing billing transactions that aren't in a closed time entry batch.
False Existing billing information is visible but not editable.

Job Requirements

You can configure company-level background check requirements that apply to placements made for jobs at a company. Navigate to Company > Requirements to set this up.

Configuration Steps

  1. Select a package from the dropdown.
  2. Click the [+] button.
  3. Specify if the package is required to be Passed or Completed:
    • Passed – Requires the talent to have the package completed and designated a "Passed" recruiter review status.
    • Completed – Requires the talent to have the package completed.
  4. Specify the Within Days value — the lookback period for a valid background check.

Placement Validation

If a talent doesn't meet the system or company-level job requirements upon placement, an error is displayed in the placement flyout.

How to Order a Background Check

The Create Background Check flyout and required talent data fields vary based on your Marketplace Consent setting.

Single Order — With Provider Consent

  1. Navigate to the Talent profile.
  2. Select the Screenings tab.
  3. Click Create a Background Check to open the Create New Screenings flyout.
    • If multiple screening integrations are enabled, select Choice Screening from the Provider dropdown.
  4. Enter required talent information (fields will prepopulate if data already exists on the talent record):
    • First Name
    • Last Name
    • Email
    • Mobile Phone Number
  5. Select Location — displays only offices configured with a Location ID in the Marketplace that the current user has access to.
  6. Select Package — multiple packages can be ordered at one time.
  7. Set Expires (days) — the number of days before the same package can be ordered again. This prevents duplicate orders and determines when the order appears in the Expiring Background Checks widget.
  8. Click Submit & Save Talent — any talent data entered or updated in the flyout is saved back to the talent record.

Single Order — With Staffing Company Consent

  1. Navigate to the Talent profile.
  2. Select the Screenings tab.
  3. Click Create a Background Check to open the Create New Screenings flyout.
    • If multiple screening integrations are enabled, select Choice Screening from the Provider dropdown.
  4. Enter required talent information (fields will prepopulate if data already exists):
    • First Name
    • Last Name
    • Email Address
    • Mobile Phone
    • Street Address, City, State, Zip
    • SSN
    • Birth Date
  5. Select Location.
  6. Select Package — multiple packages can be ordered at one time.
  7. Set or confirm Expires (days) — defaults to the value entered in the Integration Configuration.
  8. Click Submit & Save Talent.

Order Request Validation Errors

If there is an issue with a talent's data that would cause the order to fail, an error is displayed in the flyout.

Mass Ordering Background Checks

Mass background checks can be ordered from three places in BOLD. Select up to 15 talent per order — selecting more than 15 will result in an error.

Talent Search

  1. Navigate to the Talent search page.
  2. Select up to 15 talent.

Mass Ordering — With Provider Consent

  1. Click the Mass Background Check mass action.
  2. Select or verify Location, Package, and Expires (days) values.
  3. Click Continue.

  1. A data validation check runs to confirm all selected talent records have the required data to place the order.
    • If required data is missing, those talent records are displayed in the flyout showing the number of records that need updating.
    • Links to talent records are provided for quick navigation.

  1. Once all required talent data is entered, you'll receive a message in the flyout to submit the order.

  1. A confirmation message displays in the flyout with the number of successful and failed orders.

    • Errored talent listed in the flyout — expand to see detailed error messages.
    • Fix issues and click Reprocess Failed Requests to retry.

Mass Ordering — With Staffing Company Consent

  1. Click the Mass Background Check mass action.
  2. Select Location, Package, and confirm or change Expires (days) values.
  3. Click Continue.

Appending a Package to an Existing Background Check Order

Choice Screening allows users to append additional packages to existing orders. The results for the appended package are shown on the report for the existing order.

How to Append a Package

  1. Click the Details button on the existing background check order.

Background Check Fee Bill Back

You can bill background check fees back to your customers from the Talent > Screening section in BOLD — either from the Create Background Check aside or the Background Check Details aside.

Note: A user must have the Bill to Company user permission enabled to create billing transactions. Navigate to Account & Settings > User Profile > Edit Access > Choice Screening > Bill to Company = Checked.

When ordering a new background check, a $ button appears along each package line item. Click the $ button for any package where the fee should be billed back to the customer.

Complete the billing form to create a transaction. All fields are required.

Field Description Note
Company Name The customer that the fee is being billed back to Auto-searches as you type; requires at least 3 characters to return results.
Company Office Customer office that the fee is being billed back to Populates based on the selected Company Name.
Accounting Period The accounting period to bill the background check fee Dropdown provides up to 15 accounting period options.
Bill Amount The amount to bill the customer Must be greater than zero.
Bill Transaction Type Transaction type used to display the fee on the invoice Defaults to the value selected in the Marketplace configuration.

Sync to Back Office

Clicking Save creates the transaction and stores it in Back Office. This is a one-way sync from BOLD to Back Office. The billing information remains editable in the front office until the transaction is associated with a closed time entry batch in Back Office — at which point, the record is permanently locked.

To delete a billing transaction from the Front Office before it is associated with a closed time entry batch in Back Office, update the bill amount to 0. This removes the Back Office transaction.

Background Check Management

Several tools help you efficiently manage background checks and results so you can place talent on jobs quickly.

Talent Screening Page

Once a background check is ordered, it appears on the Talent > Screening page.

Features & Field Definitions

Field Description
Consent Fields Indicates whether the talent completed a background check consent form.
If the Marketplace consent setting is Staffing Company and the Talent Given Consent field is No, the Create a Background Check button will be greyed out.
Table Filters Filter orders by provider, package, status, and score.
Provider Displays the provider the background check was ordered through.
Order Date Date the background check was ordered.
Completed Date Date results were received from Choice Screening.
Package Sent Name of the package ordered.
Status The current state of the order.
Status Values: Sent, Pending Signed Consent, Pending Talent Action, Pending Recruiter Action, Results Pending, Completed
Score Custom score value returned from Choice Screening.
Adverse Action A dropdown for manually tracking pre-adverse action status of an order.
Status Values: Initiated, Contested, Cleared, Adverse Action
View Report Opens the detailed results on Choice Screening's site.
The button displays upon submitting the order to the partner.
Users can only view the report if they have the proper access through their Choice Screening account.
Details Button Displays additional order information.
Expires On Displays the date the order will expire.
Once expired, the package can be ordered again for that talent.
The date can be edited if needed.
Recruiter Review Status Values: Not Reviewed, Meets Requirements, Doesn't Meet Requirements
Automatically set to Meets Requirements if the Choice Screening score is "Passed."

Talent Search Terms

Background Check Consent

Background Check Consent search terms in BOLD allow you to search for and find talent based on their background check consent status.

Expiring Background Checks

The Expiring Background Checks widget helps you manage background checks that have expired or will expire within a maximum of 90 days.

Adding an Order to the Widget

Background check orders appear in the widget when the order's Expiration Date falls within the widget's parameters.

Removing an Order from the Widget

Background check orders are removed from the widget in three ways:

  • A new background check with the same package is ordered.
  • The Expiration Date is edited to fall outside the widget parameters.
  • The Expiration Date is removed.

Re-Ordering from the Widget

Background checks can be re-ordered directly from the widget by clicking the Create New button.
