Create and use Contact Tasks

When logging an activity or a task, you will notice the creation, distribution, and details are identical. However, it is important to understand how and when to use each.

task is used to note an upcoming "to-do"; as an example, leveraging the task type "client visit" and including your colleague(s). When you select the calendar icon, you will be taken to your email account where you can send the invite out.

Logging a Task / Activity

You can log an Activity from the following places in Avionté.

Contact Profile

Contact Profile

Contact Profile > Quick Actions widget

  1. On the Contact Tab
  2. Click on the Quick Actions Widget
  3. Click on Create Task


  4. Fill out the following information
  5. Click on the Submit button

  1. On the Contact Search tab
  2. Select the Contact to add the Activity
  3. Click on Mass Actions
  4. Click on Add Tasks


  5.  Fill out the following information
  6. Click on the Submit button

 

The Tasks/Activities will be displayed on the Activities sub tab.

 

Adding additional users to Tasks

When logging an activity, you can log the activity on another user’s behalf by selecting their name in the user drop down menu. If there are multiple users involved in this activity, you can add each user to this activity as well.

You can also send a task receipt to each user, and allow them to sync the activity with their calendar.

 

Once the Calendar checkbox is checked, it also checks the Email checkbox and adds the Email Subject field.

 

Viewing Tasks/Tracking

It's important to note that Avionté keeps track of both the assigner and the assignee. You can also view the log date vs the assigned date by simply hovering over the activity.

 

Icons

This allows you to view the Activity.

Arrow icon (Forward)

This allows you to forward the existing Activity.

A window will appear for you to select the Email program to forward the Task to.  The Task will be sent via email. 

 

Pencil icon (Edit Activity)

This allows you to make edits/changes to the Activity.

Trash can icon (Delete Activity)

This will remove the Activity.

Push pin icon (Pin Activity)

This will put the Activity at the top of the list.
