Create and use Contact Activities

When logging an activity or a task, you will notice the creation, distribution, and details are identical. However, it is important to understand how and when to use each.

An activity is best used to log interactions that have already taken place — for example, leveraging the activity type "Interview Follow-up" and documenting client feedback after a group has interviewed.

Logging an Activity

You can log an activity from the following places in Avionté.

Contact Profile > Quick Actions widget

  1. On the Contact tab.
  2. Click on the Quick Actions widget.
  3. Click on Log Activity.

  4. Fill out the following information in the Log Activity window:

    • Time Zone – Confirm the time zone for the activity being logged.
    • User – Select the user logging the activity. You can log on another user's behalf by selecting their name from the dropdown.
    • Activity – Select the activity type from the dropdown (e.g., Call Completed, Client Visit, Meeting Scheduled). The values available are configured by your administrator and may vary by organization.

    • Date and Start – Set the date and start time for the activity.
    • Details/Results – Select a value from the dropdown if applicable. This is a searchable field; begin typing to filter available options. To make Details/Results options available to your team, an administrator must first configure them in the Table Editor. Navigate to Table Editor > Contact Details & Results to define the custom options that reflect your organization's activities. Once configured, the Details/Results field will appear as a dropdown when users log or edit Contact Activities.

    • Message – Add any notes or details in the text field. Any message you compose can also be saved as a Template for future use. Access saved Templates from the Templates dropdown or save a new one with the Save icon beside the dropdown.
  5. Click the Submit button.

  1. On the Contact Search tab.
  2. Select the contact(s) to add the activity.
  3. Click on Mass Actions.
  4. Click on Add Activities.

  5. Fill out the following information:
    • Time Zone – Confirm the time zone for the activity being logged.
    • User – Select the user logging the activity.
    • Activity – Select the activity type from the dropdown. The values available are configured by your administrator and may vary by organization.
    • Date and Start – Set the date and start time for the activity.
    • Details/Results – Select a value from the searchable dropdown if applicable. The values available are configured by your administrator and may vary by organization.
    • Message – Add any notes or details in the text field.
  6. Click the Submit button.

The activities will be displayed on the Activities sub tab.

Adding Users or Additional Recipients

When logging an activity, you can log it on another user's behalf by selecting their name in the User dropdown. If multiple users are involved, you can add each of them to the activity as well.

You can also send an activity receipt to each user and allow them to sync the activity with their calendar.

Once the Calendar checkbox is checked, it also checks the Email checkbox and adds the Email Subject field.

Viewing Activities / Tracking

Note: Avionté keeps track of both the assigner and the assignee. You can view the log date versus the assigned date by hovering over the activity.

Activities are displayed on the Activities sub tab of the Contact Profile. Each logged activity shows the activity type, date and time, and the user who entered it.

Filtering Activities

Use the filter options at the top of the Activities sub tab to narrow your view:

  • From Date / To Date – Filter activities within a specific date range.
  • By the User – Filter to show activities logged by a specific user.
  • Activity Type – Filter by a specific activity type.

This allows you to forward the existing activity.

A window will appear for you to select the email program to forward the activity to. The activity will be sent via email.

This allows you to make edits or changes to the activity.
