Start a Talent on a Job (Submit)

From the Job Talent Screen

The Job Talent Screen lets you nominate and start talent directly from the job, without requiring them to go through the full pipeline process first. Use the links below for more detail on pipelining and nomination.

Start Talent

While on the Talent Screen for the Job, you can quickly start a Talent without going through the full pipeline process.

  1. Click the green Checkmark Green checkmark icon icon.

  2. The Start on Job flyout will open with fields pre-populated from the job. Review and adjust as needed. For more information on specific fields, click the links below or see the Start on Job — Field Descriptions table below.

  3. Click Start Talent.
  4. The Talent will now show Started in the Stage column.

Start on Job — Field Descriptions

The following table describes each field in the Start on Job flyout.

Field Description
Start Date The date the talent's placement begins. Defaults to the job's start date.
End Date The date the talent's placement ends. Leave blank if the end date is open or unknown.
Currency The currency used for billing and pay rates on this placement.
Mark-up Percentage The percentage applied on top of the pay rate to calculate the bill rate. Read-only if inherited from the job. See Job Mark-ups for details.
Bill Rate The rate billed to the client for each hour worked.
Pay Rate The rate paid to the talent for each hour worked.
Overtime Determines how overtime is handled for billing and pay (e.g., Paid Not Billed). See Custom Rates (Overtime) for details.
Overtime Rule The overtime calculation rule applied to this placement (e.g., Default).
Overtime Bill (0x) The bill rate multiplier for overtime hours. A value of 0x means overtime is not billed to the client.
Overtime Pay (1.5x) The pay rate multiplier for overtime hours. Defaults to 1.5x the standard pay rate.
Doubletime Bill (0x) The bill rate multiplier for doubletime hours. A value of 0x means doubletime is not billed to the client.
Doubletime Pay (2x) The pay rate multiplier for doubletime hours. Defaults to 2x the standard pay rate.
Employment Type The classification of the talent's employment for this placement.
Burden % The percentage added to the pay rate to account for employer-side costs such as taxes and benefits.
VMS Fee % The Vendor Management System fee percentage applied to this placement, if applicable.
Discounts Any discount amount applied to reduce the bill rate for this placement.
Hourly Margin The calculated difference between the bill rate and fully loaded pay rate per hour. Read-only; calculated automatically.
Estimated Hours The projected number of hours the talent will work per week on this placement.
Estimated GP The estimated gross profit for this placement based on rates and estimated hours. Read-only; calculated automatically.
Expenses Indicates whether expense reimbursement applies to this placement (e.g., No Expenses).
Week Duration Defines the workweek start and end days used for timesheet calculations (e.g., Sun–Sat).
Payroll Number The payroll ID associated with the talent for this placement. Populated automatically if available.
Department Number The department code used for payroll or reporting purposes on this placement.
Sales Rep The sales representative credited for this placement. Read-only for integrated customers; editable at the job level only.
Recruiter Rep The recruiter credited for sourcing or placing the talent on this job.
Placement Office The office location associated with this placement for reporting and organizational purposes.
Pay Basis The basis on which the talent is paid (e.g., hourly, salary).
Bonus Pay Accrual Indicates whether a bonus pay accrual applies to this placement and, if so, which accrual plan is used.
FLSA Classification The Fair Labor Standards Act classification for the talent on this placement (e.g., exempt or non-exempt).
Work Schedule Type The type of work schedule assigned to the talent for this placement.
Remote Work

Checkbox indicating whether the talent will work remotely on this placement.

Note: This setting is used for reporting purposes only. It does not affect payroll processing in Back Office.
Notes A free-text field for entering any placement-specific notes. Supports rich text formatting.
Notify Selects which group or individual is notified when the talent is started on this job.
Additional Recipients Additional email addresses to include in the start notification, outside of the Notify group.
Timesheet Approvers Toggle to configure the individuals assigned to approve timesheets for this placement. See Timesheet Approvers for details.
Commission Allocation Toggle to configure how commission is split or allocated for this placement. See Commission Allocation for details.
Additional Transactions Toggle to add non-standard pay or bill transaction types to this placement. See Additional Transactions for details.
Send Start Sheet Toggle to automatically generate and send a Start Sheet to the talent after clicking Assign Talent. See Start Sheet for details.

Using Nomination Stages

Nomination Stages let you move talent through a structured review process before committing to a placement. The Talent must be in the Nominated section to use this workflow.

  1. In the Stage column, open the dropdown menu.

  2. Select from the available stage options. There are two main options — Active and Declined. If an interview was scheduled, a third option appears to reschedule it.

    • Active: Choose an option to continue the Nomination process.
    • Declined: Choose an option to cancel the Nomination process.

  3. Once you select an option, a flyout window will appear. Examples of both Active and Declined flyouts are shown below.

  4. Fill in the fields in the flyout:
    • Stage: Populated from the option selected in the previous step.
    • Calendar Sync: Generates a calendar template you can add to your calendar.
    • Start Date: The date of the event.
    • Start Time: The start time (used primarily for interviews).
    • End Date: The end date of the event.
    • End Time: The end time of the event.
    • Timezone: The timezone for the event.
    • Color: A color to help visually distinguish the event.
    • Interview Kit (Toggle): Include or exclude the Interview Kit. See Information on the Interview Kit.
    • Note: Any notes relevant to this stage. See Email Merge Fields for available merge options.
    • Notify: The group to notify about this stage update.
  5. Click Submit.

From Talent's Profile

You can also start a talent on a job directly from their profile, which is useful when you already know which talent you want to place and just need to select a job for them.

  1. Search for the Talent and open their profile.
  2. In the Quick Actions menu on the right-hand side of the page, click Start Talent. The Select a Job flyout will open, listing available jobs with details including the Start Date.

  3. Select the job using the radio button. If required details are missing from the Talent or the Job (such as geocodes, emails, or phone numbers), the system will prompt you to address them before proceeding.
  4. The Assign on Job flyout will open. Review and adjust the placement details as needed. Click View Job Details to open the job in a new tab for reference.
  5. Select the nomination source in the flyout if needed.
  6. Click Assign Talent. The system will confirm with the message "1 applicant(s) started on the job!" and display the Start Sheet template for review.
  7. Modify the Start Sheet if needed, then click Send. The talent is now started on the job and the specified recipients will receive the Start Sheet.
Note: Integrated customers cannot edit the Sales Rep for a placement. The Sales Rep dropdown is read-only for integrated customers and can only be edited at the job level.

 

Mass Start Multiple Talent

Mass start lets you start multiple talents on a job at once directly from the Applicant/Talent Search, saving time during high-volume hiring.

Note: Talent must have a user account created before they can be included in a mass start.

When starting talent via Mass Start, the nomination source defaults to the one set on each individual talent's profile. The system will prompt you to fill in the Hired Details before completing the mass start.

 

Filled Job Requirements

Talents must meet the Filled Job Requirements configured in the Table Editor before they can be started on a job. If a talent doesn't meet the criteria, the system will notify you of the missing requirement. Talents who meet all criteria will be started on the role automatically.
