Widgets

The Talent Widgets are found on the right side of the profile and house pertinent information on the talent for easy viewing. These widgets can be moved around so that each user has a customized view to their liking. Hover over the widget to get the editing icons to appear.

Profile Widget: Field Details

Available fields/options: Profile picture, First Name, Middle Name, Last Name, Flag, Talent Status, Headline, Privacy.

Keep the photo dimension, size, and file type at or below the following:

  • Max Dimensions: 600 x 600
  • Aspect Ratio: 4:3
  • Max Size: 300 KB
  • Accepted file types: .png / .jpg

Talent flags

Talent flags appear to the left of the talent profile picture providing an indication of talent status at a glance. There are three flag color options: Red, Yellow, and Green. Users within an organization can decide the meaning of each color in relation to talent. For example, a Red flag could indicate no transportation or incomplete onboarding documents. A Yellow flag could indicate the talent is available but with a limited schedule. A Green flag could indicate that they have completed all onboarding documents and are open for placement.

Note: Flags can be updated on the talent profile at any time.

Talent flags, when used consistently across an organization, can assist recruiters in performing an Advanced Search for all talent with a specific flag on their profile. Flags can be found under Talent Terms in the Advanced Search screen.

Headline

The headline is a free text field used to highlight important information about the talent. This field is for internal purposes only and is only visible to internal users of the platform. Use this field to designate key items such as transportation limitations, specific needs of the talent, availability, or other items of note. Example: availability dependent on school break schedule, needs bus fare to get to job sites, can only work after 9am on weekdays.

Contact Information Widget

House all contact information in the Contact Information Widget.

This widget is important for a variety of reasons. In order to email the candidate through the system, the email must be entered. Using your VOIP phone software (such as RingCentral, 3CX, Dialpad, etc.) or sending a text requires a phone number, and if running an applicant search by location, it will pull from the address logged within this widget.

Operational Information Widget

The Operational Information Widget allows users to track Candidate Reps and update availability dates and desired pay as needed. This widget provides a quick view of key operational details for talent records.

Field Description
Candidate Rep The staffing company representative responsible for the talent relationship.
Branch The branch location the talent is assigned to.
Date The date the talent record was created in the system.
Available The date the talent is available to begin work.
Hire Date The day the talent officially begins their employment with the staffing company (the first date the talent begins working for pay).
Rehire Date The date the talent is rehired with the staffing agency. This is a global field on the talent record and is not specific to a job or position.
Termination Date The date the talent's employment with the staffing agency ends.
Salary Minimum For direct hires — the minimum salary required by the talent.
Salary Maximum For direct hires — the maximum salary the talent is seeking.
Salary Details Considerations for salary requirements such as mileage reimbursement, relocation fees, benefits requirements, and other compensation-related factors.
Hourly Minimum The minimum hourly rate for temporary or contracted talent.
Hourly Maximum The maximum hourly rate for temporary or contracted talent.
Hourly Details Considerations and requirements for hourly workers, such as shift preferences, availability constraints, and scheduling requirements.

Integration Notes

For integrated clients: The Hire, Rehire, and Termination Date fields automatically sync to Back Office.

Permissions & Access

The Rehire and Termination Date fields are restricted by user permissions. Only users with Tax Admin permission can edit these fields. If a user needs access, an AviontéBOLD Admin or Support team member must grant the Tax Admin permission.

Usage Tips

  • Use this widget to quickly view and update key operational information.
  • Ensure availability dates are kept current for accurate scheduling.
  • Update pay rates as needed to reflect current agreements.

The Quick Actions Widget houses all available candidate actions in Avionté. Users can edit this widget to have their three most common actions appear first. Additional actions are found in the drop-down on the fourth widget, which will always be the last action taken from that widget.

Hover over the placement tags to easily view all associated jobs within that category. If the candidate is placed on a job, the green Placed Tag provides a quick link to that position.

History (previously Paychecks)

Integrated customers (using AviontéBOLD and Classic Back Office) can view paystubs for talent directly in AviontéBOLD. To have access to talent paystubs, the following must apply:

  • The customer must have integrated AviontéBOLD and Classic Back Office.
  • Users must have the "History View" user setting enabled.
  • Users must have the "Pay History" user setting enabled to view Pay History.
  • Users must have the "Hours History" user setting enabled to view Work Hours History.
  • Users must have the History tab enabled on the talent profile view.

The Placements tab displays a row for each placement associated with this talent. The following columns are available in the placements grid:

Column Description
Job ID The unique identifier for the job associated with this placement.
Job The name of the job the talent is or was placed on.
Company The company the talent is placed at.
Company Office The specific office location of the company associated with this placement.
Manager The hiring manager associated with the placement.
Type The employment type for the placement (e.g., W-2, 1099).
Original Start The original placement start date.
Extension Start The extension start date.
End The placement end date, if applicable.
Pay / Salary The pay or salary rate associated with the placement.
End Reason The reason the placement ended, if applicable.

Hired Details

Each placement row includes a Hired Details button to the right of the End Reason column. Clicking it opens the Hired Details panel inline — no navigation required, and your table filters and scroll position stay intact when you close the panel.

From the Hired Details panel, you can review and update placement details including rates, overtime settings, employment type, expenses, pay basis, and more. Custom fields for the placement are also accessible here and can be added, edited, or deleted depending on your permissions.

Note: The ability to add, edit, and delete custom fields in the Hired Details panel is controlled by the Edit Custom Fields permission under the Modification Access category. This permission is enabled by default for existing users and disabled by default for new users. If the Edit Custom Fields permission is disabled, the field dropdown, Edit button, and Delete button in the custom fields section will be greyed out.

Profile (previously Tax)

Stores and edits specific tax-related and personally identifiable information, such as social security numbers and worker authorizations. Special Profile Admin access is required for some fields.

Restrictions

View company placement restrictions for this individual.

View results from Web Apply Tests, Web Tests, Interview Questions, and Assessments.

Timesheet Statuses:

Timesheet status icons

Open

The timesheet is open and ready for time entry. Hours still need to be submitted for the pay period before the deadline.

Submitted

The timesheet has been successfully submitted and is now waiting for approval from the hiring manager and/or other approvers.

Rejected

The submitted timesheet has been rejected by the hiring manager. Any feedback provided should be reviewed, necessary corrections made, and the timesheet resubmitted for approval.

Paid and Invoiced

The timesheet has been approved and processed for payment. The hours have been accepted and payment can be expected according to the normal pay schedule.

Note: A "Paid and Invoiced" status will show as "Approved" in the Timesheet Manager.

View web meeting archives recorded and stored for this talent. This tab only displays when web meeting archives exist.
